Job Description:
We are seeking a dedicated and organized Front Desk Receptionist to join our team. This role is essential for ensuring the smooth operation of our clinic’s front desk activities and providing an excellent experience for our patients and visitors.
Key Responsibilities:
- Reception Area Readiness: Ensure the reception area is prepared at the start of each workday. Open the clinic on time and ensure all front desk activities are operational before business hours.
- Patient Interaction: Greet patients and visitors warmly. Assist patients with inquiries and direct them to the appropriate staff or location, maintaining a courteous and customer-friendly environment.
- Check-In and Registration: Help patients complete necessary paperwork accurately. Assess the financial status of accounts, collect and post payments or co-payments, and document approved circumstances in the system.
- Data Management: Scan patient insurance cards, photo IDs, and other required documents into patient charts. Accurately enter and update patient demographic, contact, and insurance information.
- Triage Patients: Evaluate the urgency of appointments at check-in and notify care staff as necessary.
- Appointment Scheduling: Schedule patient appointments, collecting essential information (name, DOB, SS#, insurance details, and reason for visit).
- Waiting Room Management: Monitor the waiting room to ensure patients feel attended to. Maintain a tidy and welcoming environment.
- Appointment Confirmation: Confirm all scheduled appointments for the next business day and document as required.
- Insurance Eligibility Checks: Verify insurance eligibility for services before appointments. Document copay and deductible amounts, collecting them when appropriate.
- Patient Confidentiality: Uphold patient privacy and confidentiality at all times.
- Financial Management: Prepare, maintain, and balance daily financial registers. Submit all forms and fees to the appropriate supervisor at the end of the day.
- Inventory Management: Maintain clinic forms and office supply inventory for front desk operations. Notify supervisors of any supply needs.
- Team Communication: Communicate professionally with all staff members, fostering teamwork and efficiency.
- Crisis Management: Stay calm and collected in busy or emergency situations.
- Downtime Utilization: Use downtime productively and appropriately.
- Adaptability: Embrace change positively and cooperatively.
- Meeting Participation: Attend and engage in office and educational meetings as required. Take dictation of meeting minutes when necessary.
- Additional Duties: Perform other duties as requested.
