About The Opportunity

This role involves providing strategic and technical direction to the Departmental Chair of Cancer Prevention and Control and the Associate Center Director on aspects of administration and management, including determining priorities and goals, finding innovative and collaborative ways to ensure their timely delivery, staying within budget, and determining budgetary and resource needs. Responsibilities include leading special projects, liaising with various stakeholders within WVU and externally, and participating in strategic planning. The role also involves troubleshooting unique challenges; facilitating large funding proposals; representing the department on WVU Cancer Institute communications teams and projects; supervising the Office Administrator and various students engaged in research; and some higher level administrative support.

What You'll Do

Strategic Direction and Initiatives for the Dean/Chair.

  • Provide substantive strategic and technical direction to the Department Chair of Cancer Prevention and Control (CPC) and WVUCI Associate Director (AD) on aspects of administration and management, including determining priorities and goals, finding innovative and collaborative ways to ensure their timely delivery, staying within budget, and determining budgetary and resource needs.
  • Provide leadership for special projects/initiatives, while approaching work with a cross-functional and cross-organizational (statewide, regional/multi-state, and national) mindset.
  • Serve as an advisor and the primary representative of the Chair in establishing priorities and developing goals, assuring staff and patient safety, and completing mission requirements.
  • In consultation with leadership, advance and monitor progress of the Chair’s/WVUCI AD’s initiatives and identifying, assigning, prioritizing and tracking specific assignments/projects/grants.
  • Participate in strategic planning process for the Department of CPC which encompasses several programs and research projects spanning the state of West Virginia and beyond with approximately $2 million a year in budgets.
  • Identify synergies and facilitate collaboration across clinical and research initiatives including WVU Medicine, WVCTSI, WVUCI, WVU and WVUF, etc.
  • Explore technological efficiencies to enhance departmental operations, and when appropriate learn the new technology and train department staff on its use.
  • Analyze and capture data to understand trends and customer insights, contributing CPC’s deliverables associated with community outreach and engagement as well as research.
  • Acts as department liaison and represent the department’s needs in various meetings within and outside WVU.
  • Supervise CPC’s lead Office Administrator supporting several programs and oversee all student activity contributing to CPC’s many research projects.

Complex Problem Solving and Troubleshooting

  • Troubleshoot problems and inquiries related to unique challenges that are not easily resolved through defined policy and procedure. Develop solutions that effectively address concerns and maintain high levels of customer service. Develop new policies and procedures as needed.
  • Collaborate cross functionally with internal and external audiences and maintain relationships and influence amongst peers and partners to build and achieve shared goals.
  • Navigate internal institutional processes, people, and pathways to address changes and challenges that optimize our matrix environment.
  • Manage and oversee policy, systems, and environmental change projects.
  • Direct all departmental computer/tech concerns (30 machines) and coordinate with IT as needed.
  • Operate effectively in a fast-paced, high-volume environment & meet deadlines.

Coordination of Large-Scale Funding Grants and Faculty Recruitment/Retention

  • Facilitate writing and development process for large external, often multi-site funding proposals.
  • Provide project management for the preparation of large-scale grant applications.
  • Coordinate and manage faculty search committees, hiring process, and appointment letters.
  • Oversee departmental Promotion and Tenure Files and preparation for annual reviews.

Lead CPC Communications Efforts for WVU, WVU Medicine, and with various partners

  • Work with external partners to communicate and advance population-based research endeavors on state, regional, and national levels.
  • Acts as department liaison and represent the department’s needs in various meetings within and outside WVU. Serve as the representative for the department on WVUCI communications teams and projects.
  • Prepare comprehensive reports and presentations on behalf of CPC and/or WVUCI presenting ideas clearly and concisely. Deliver messages in clear and compelling ways to facilitate the end user understanding and compliance.
  • Develop content for and manage the departmental academic, research-oriented website.

Provide High-Level Administrative Support

  • Liaison between the department and the HSC including oversight of EPIC implementation, IT training and compliance for all faculty and staff, determine hardware and software needs of the department and assures those needs are met within the appropriate guidelines and designated budget.
  • Plan and execute departmental meetings and retreats.
  • Monitor various email accounts, prioritize responses, and alert chair of urgent needs.
  • Bachelor's degree in appropriate discipline: public health, health communications, social work, health education, healthcare administration, marketing, or other healthcare professions degree; Master's preferred.
  • A minimum of five (5) years of experience in the following:
    • Research and/or public health dissemination
    • Experience in coordinating health education programs, event planning, group dynamics, leadership, and program assessment.
    • Experience with information systems and technology
    • Experience with community outreach and education, public communication and activities, and academic detailing with healthcare personnel preferred.
    • Health-related health communication experience with oncology preferred
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.

  • Skilled in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems. Ability to combine pieces of information to form general rules or conclusions.

  • Knowledge and understanding of grant writing principles and best practices.
  • Skills in, or knowledge of, professional principles, legal and/or reporting requirements affecting extramurally sponsored projects.
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations.
  • Excellent written and verbal communication, including writing correspondence, preparing reports, and synthesizing discussions for documentation.
