Job Overview
The Administrative Assistant / Receptionist will provide administrative support to the Office Manager, Project Manager, Estimator, and other Construction Management staff. Assist staff with communicating with vendors and clients.
Responsibilities and Duties
· Answer incoming phone calls and respond to emails in a professional manner
· Execute clerical and general office duties including filing, data entry, copying, ordering office supplies, errands and other administrative tasks for special projects as requested
· Assist with Accounts Payable and other general accounting tasks
· Booking travel / hotel arrangements for staff and crews
· Prepare forms such as service agreements, subcontracts, bid proposals
· Act as a point of contact for vendors and subcontractors
· Maintain Projects in Progress and Projects Completed Lists
· Update and maintain company resumes for key personnel
· Order Office Supplies / facilitate copier maintenance / paper refills
· Errands such as FedEx drop off
· Update Phone List & Projects List
· Employee Packets
· Compile Manuals – Safety, Superintendent
Qualifications
- Excellent computer skills (A MUST)
- Dependable and reliable (A MUST)
- Experience in the Construction Industry
- Excellent spelling, grammar, and writing skills
- Skilled with Microsoft Office, especially Excel
- Skilled with Adobe Acrobat
- Ability to plan and see the "big picture"
- Excellent organizational and time-management skills
- Outstanding communication and negotiation abilities
- Excellent problem-solving ability
