Key Responsibilities:
- Responsible for the administration of the commercial/retail leasing process from lease document request through and including billing and payment.
- Prepare and disseminate lease abstracts.
- Review letters of intent and provide a lease request summary to Legal for lease draft.
- Prepare lease renewals, delivery of possession letters, commencement letters, and lease-related correspondence.
- Receive and track lease-related documents and correspondence and lease deliverables such as insurance certificates, estoppels and subordination agreements.
- Review lease documents to ensure all terms are satisfied.
- Enter lease terms into software and maintain updated and complete working lease files.
- Track critical lease action dates such as renewal options, notice periods and lease expirations.
- Research and document lease questions.
- Ability to deal with tenant inquiries regarding lease terms.
- Review and process percent of rent.
- Oversee and track tenant sales and vacancy reporting.
- Review and process monthly rent billings.
- Review Monthly Billing reports with Property Managers (PM).
- Review all Reimbursement Billings.
- Work with PM’s and Accounting to reconcile where applicable (i.e. CAM charges, taxes)
- Assist in budgeting and re-forecasting.
- Assist in the implementation of leasing software & integrations with accounting software.
- Interact with legal, leasing and accounting departments as needed.
- Perform special projects and office functions as needed.
- Various daily tasks related to leasing and billing.
- Bachelor’s degree preferred, plus 5 years of experience in Real Estate in Commercial Lease Administration.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- Requires strong conceptual and analytical skills.
- Requires excellent interpersonal skills and a team player.
- Requires the ability to be self-motivated and work independently with minimal supervision. Also requires high degree of ethics and integrity.
- Requires ability to maintain confidentiality of all company information.
- Proficiency with Microsoft Office, collaboration tools like Teams and Zoom, and property management software (Yardi preferred).
