Our client, a leading $7b aum asset management firm, is seeking to hire an EA to support their CEO, with light support to the IR team and events. The EA will work in a team of five administrative professionals. They offer great pay, great hours, growth in role, and high exposure. This is a hybrid role requiring 4 days in office.

Job Function
The Executive Assistant’s primary role is to provide support to the CEO. In addition, the position supports the Head of the Investor Relations team, and firm as a whole. Day-to-day interactions include investors, key business relationships, vendors, and all levels of employees. They will be required to perform a range of business-related administrative functions to include, but are not limited to:
- Maintain CEO’s calendar. Schedule internal and external meetings and appointments, prioritizing by level of importance as well as maintaining timeliness.
- Act as liaison between CEO and other departments. Gatekeeper of CEO’s schedule and office access.
- Plan and book business travel for CEO and Head of Investor Relations, inclusive of airfare, lodging, car service, etc.
- Coordinate with CEO’s driver as necessary. Prepare detailed itineraries for CEO.
- Prepare and submit expense reports for CEO and Head of Investor Relations.
- Answer and screen CEO’s calls; transfer and/or take detailed, accurate messages as needed. This requires excellent telephone manners and the ability to prioritize.
- Meet/greet investors, key business partners, guests, and vendors that are meeting with CEO.
- Organize and coordinate company events and activities, including three major events per year (Anniversary Party, Holiday Party, and Annual Investor Meeting), as well as business dinners, inoffice happy hours, birthday celebrations, etc. These events are typically planned in collaboration with the COO’s Executive Assistant and a third-party event coordinator for the large-scale events.
- Collaborating with the firm’s other Executive Assistants, Firm Operations Manager, Facilities Manager, and Receptionist on office operational responsibilities as needed.
- Helping with various special projects and other miscellaneous administrative support duties, as needed, e.g., keeping up with CEO’s personal licenses and memberships, YPO meeting scheduling, etc.
- Preferred 5-15 years of corporate experience in a similar position
- The ability to take initiative, be pro-active and anticipate needs; “no task is too big/small” mentality
- Solid Microsoft office skills; experience using Concur and/or Salesforce is a plus
