Job Summary

Whitehead Rental Management, Inc. (WRM) is looking for an administrative assistant to join our growing team. WRM is a local, family owned, Christian based, property management company located in Salisbury, MD. WRM specializes in assisting landlords, investors and individual owners of residential property with their rental and property management needs. WRM's primary service areas include: Wicomico, Worcester, Somerset and Sussex Counties.

Whitehead Rental Management, Inc. is affiliated with Whitehead Real Estate Executives (WRE) which is a real estate sales brokerage. WRE specializes in assisting clients with the purchase, sale, or investment of residential real estate. The brokerage is licensed in Maryland and Delaware and its primary service areas include: Wicomico, Worcester, Somerset and Sussex Counties.

The incoming administrative assistant will be employed by Whitehead Rental Management, Inc. (WRM) and report directly to the property manager. The administrative assistant will work primarily in the office but will at times need to travel to meet owners and tenants or attend inspections and showings when the property manager is unavailable. The administrative assistant is not required to sell real estate or show rentals outside of those managed by WRM; however, if a real estate license is obtained, the administrative assistant has the opportunity to earn commission income if they assist clients with the rental, purchase or sale of a property, after business hours.

Job Type: Full Time

Business Hours: Monday - Friday, 9 AM - 5 PM

Benefits: 7 Paid Holidays, 3 Paid Personal/Sick Days and 5 Paid Vacation Days after 6 months. The week between Christmas and New Year's, employees work remotely unless needed.

Potential: To earn additional income

Reimbursements: Mileage per IRS rate

Job Duties:

  • Answer telephones and take messages.
  • Respond to property related issues and coordinate maintenance requests.
  • Answer routine inquiries from tenants, clients, agents and brokers.
  • Provide clerical support to the property manager during the rental process; including data entry, scanning documents, organizing and maintaining files, creating documents and spread sheets.
  • Scheduling photographs, inspections, maintenance, move in and move out dates.
  • Perform marketing tasks such as advertising and posting on social media accounts.
  • Gather information about potential prospects interested in renting a property or having their property managed.
  • Enter and update information on our website and on all marketing sites.
  • Manage and meet all contract deadlines.
  • Manage database entries on a daily basis.
  • This is a 9-5 job, but certain transactions may occasionally require the need to answer a question from the property manager after hours or on the weekend.

Qualifications:

  • High School education required.
  • Have reliable transportation.
  • Computer software experience to include: Microsoft Word, Excel, Outlook and Google Apps.
  • Working knowledge of marketing and social media platforms.
  • Prior experience in property management, real estate sales or bookkeeping is a plus but not required.

Job Type: Full-time

Pay: $35,000.00 - $40,000.00 per year
