WRA is currently seeking an experienced, self-motivated Proposal Coordinator to join our team in our Raleigh, NC office. The candidate will work closely and collaborate with Raleigh’s technical staff and project managers. The ideal candidate will be an enthusiastic, organized, and detail-oriented individual who anticipates issues and thrives on creative, independent problem solving within a rapid, deadline-driven environment. Strong writing skills and attention to detail are required. This is a dynamic position that requires the ability to manage the frequent shifting of priorities while maintaining attention to detail and achieving high quality standards. The Proposal Coordinator must be able to prioritize, multi-task, function effectively under multiple deadlines and time constraints, schedule workloads, and manage their time efficiently.
Responsibilities:
- Coordinate, write, edit, and produce responses to solicitations, SOQs, RFQs, RFPs; this includes research, technical content, graphics, page layout and design.
- Ability to work with multiple firm leads to assemble materials and manage the entire proposal process from start to delivery, including adhering to all internal deadlines for drafts/reviews.
- Read and analyze solicitations, SOQs, RFQs, and RFPs plus effectively edit proposal content for spelling, grammar, consistency, and compliance with requirements.
- Prepare presentations, leave behinds and handouts for interviews with prospective clients.
- Assist with tracking and inputting opportunities.
- Maintain proposal files, project write-ups, resumes, and marketing database.
- Schedule and participate in proposal strategy meetings.
- Attend pre-proposal meetings and debriefings as needed.
- Assist with other business development/marketing functions, as necessary.
- Update and maintain the marketing department’s documentation and databases (i.e., resumes, project portfolios, photos, references, licenses and certifications, project history, etc.).
- Assist with the planning and execution of company marketing and recruitment events such as conferences, seminars, career fairs, and other outreach events
- Prepare and / or coordinate graphics for proposals, shortlist presentations, and brochures.
- Assist with preparing documentation for pre-qualification packages.
- Assist project managers in the day to day management and operation of office administration.
Requirements:
- Associate or bachelor’s degree in Marketing, English, Communications, Journalism English preferred; demonstrated years of experience will be considered in lieu of a degree.
- 3-5 years of relevant experience required.
- Excellent project and time management skills with keen attention to detail and highly organized.
- Excellent writing, graphic, and proof-reading skills. Ability to multi-task and handle multiple deadlines and assignments.
- Proficient with MS Office Suite (Word, Excel, PowerPoint, and Outlook).
- Experience with Adobe Creative Suite (specifically InDesign and Photoshop) required.
- Self-starter with the ability to work both independently and as a team member.
- A strong and clear professional communication style with excellent written, graphic, and verbal communication skills
Preference will be given to applicants with the following experience:
- Proposal and presentation coordination and marketing support in the A/E/C industry.
- NCDOT and NC Locality Transportation and Utility Infrastructure market experience.
