FACILITIES SERVICES MANAGER

The Facilities Department at Willamette University is responsible for the daily operations, maintenance and upkeep of approximately 1.4 million square feet of academic, residential, administrative and off campus properties situated on approximately 60 acres with all the associated utilities and infrastructure.

The Facilities Services Manager oversees the cleanliness and sanitation of all buildings and facilities at Willamette University's Salem Campus. This position is responsible for the direction and oversight of facilities services staff and a janitorial services contractor. Work involves a wide variety of complex duties and responsibilities in the University's fast paced Facilities Management Office. This position requires a high degree of interpersonal and communication skills to provide a high level of professional assistance to individuals both inside and outside the University. Performance of responsibilities has a significant impact on budget, reputation, and operations of the University.

Duties and Responsibilities
  • Supports Director of Facilities in the efficient overall operation of the department.
  • Assists in the management of departmental budgets as assigned by the Director of Facilities.
  • Responsible for oversight and management of five (5) facilities services staff, two (2) events support staff and a janitorial services contractor across day, night and weekend shifts.
  • Provides strong leadership, management, training and development skills while effectively supervising staff and building an effective team.
  • Hires, supervises, schedules and provides regular written evaluations of assigned staff; advises, assists and trains subordinates as necessary.
  • Establishes annual employee goals and development plans and provides regular performance feedback.
  • Plans, schedules, and evaluates priorities and daily work requests. Assigns work to appropriate personnel and ensures the work is done in a timely, economical manner. Coordinates timely and professional responses to work order requests and emergencies.
  • Manages all event setup and breakdown to support the Scheduling, Events and Conferences Dept.
  • Manages relocation services for facilities related moves on and off campus.
  • Supervises and assigns staff including day, night and weekend shifts.
  • Responsible for the maintenance, operation, requisitioning and control of all janitorial supplies and equipment. Organizes and assigns staff to meet the demand and needs of campus facilities and special events.
  • Manages and maintains effective safety training programs to ensure that facilities services staff and janitorial services contractor staff have the proper training to maintain a safe work environment.
  • Establishes and maintains routine monthly building cleanliness and condition assessments and provides reports of the results to the Director of Facilities. Develops action plans to address deficiencies.
  • Coordinates efforts with consultants, project managers, contractors, and University personnel as assigned.
  • Provides project management responsibilities as assigned by the Director of Facilities.
  • Actively participates in committees, meetings and professional development opportunities that will further the facilities services related goals of the University.
  • Maintains positive working relationships with University departments, staff, vendors, contractors, and the public.
  • Position requires being on call 24/7 to respond to emergencies and other significant issues on campus as part of the on call manager's rotation.
  • Additional duties as assigned.

Minimum Qualifications
  • Three (3) years of progressively increasing experience as a supervisor and a demonstrated knowledge of facilities operations or janitorial services and/or any combination of education, training or experience that provides the knowledge, skills and abilities required to perform the essential functions of the position.
  • Proficient use of a personal computer and software programs such as Word, Excel, or any specialized applications.
  • Keyboarding, email and maintaining databases.
  • Communicate both orally and in written English.
  • Possession of a valid driver's license and satisfactory driving record or ability to obtain one within 60 days of date of hire.



Preferred Qualifications
  • Bachelor's degree in facilities management, or a related field.
  • Five (5) years of management and supervisory experience in facilities or janitorial management.
  • Relevant industry recognized certifications.

Physical Demands and Working Conditions
  • Ability to work for extended periods of time while walking, standing, bending, stooping, climbing, lifting objects up to 50 pounds, and pushing/pulling heavy carts of equipment while often exposed to dirt, dust, obnoxious odors and inclement weather in areas sometimes dimly-lit. Often requires traveling from building to building outdoors and routinely traversing steps / stairs.
  • May be required to drive vehicles both on and off campus.

Salary: $78,168
