We’re looking for a right-hand person to our agency’s owner—a trusted Personal/Executive Assistant who thrives on juggling multiple priorities, spotting inefficiencies before they become issues, and keeping everyone (and everything) on track.

We are a dynamic, fast-paced team dedicated to serving community-based clients across the Portland metro area. Most of our work involves supporting medically vulnerable individuals who are navigating complex mental and physical health challenges. Our days are often unpredictable—we’re usually just one phone call away from the next crisis—but we genuinely love the thrill of helping people solve problems and reclaim their quality of life.

What You’ll Do:

  • Serve as the primary support to the owner—anticipating needs, managing time, and keeping the big picture in focus
  • Manage email inboxes: Drafting, responding, flagging priorities, and following up on action items
  • Own calendar and scheduling needs: from daily task planning to coordinating new client intakes and internal meetings
  • Draft clear, professional communications for both internal team members and external payers/stakeholders
  • Keep us on top of hiring and compliance documentation, team communications, and operational checklists
  • Continuously identify and implement new systems or processes that streamline how we work
  • Support our team in remaining responsive, organized, and compassionate as we navigate complex client needs and time-sensitive situations

  • Understand the importance of responding with grace and calm in high-pressure or emotionally charged moments
  • Care deeply about community-centered work and want to be part of something meaningful

Requirements:

  • Some college coursework required; a college degree is preferred
  • Strong administrative, communication, and organizational skills
  • More hours and expanded responsibilities available for applicants with a current credential as a QMHP, QMHA, or Peer Support Specialist
  • Highly recommended: Familiarity with the behavioral health system in Oregon, especially working with Medicaid, OARS, and the coordination of services for Medicaid-funded clients
