Job description
The Office Manager is responsible for organizing and coordinating office operations and procedures for NCB Day Support Services and Residential Support Services in order to ensure organizational effectiveness and efficiency. The position of Office Manager can also be filled by the Program Director. This position will be performed by the aforementioned until an experienced candidate is hired.
The Office Manager will report to the Program Director. The Office Manager is responsible for providing office management services to NCB Day Support Services and Residential Support Services. This includes maintain office services and efficiency and maintaining office records. The Office Manager must be knowledgeable of policies and procedures for all services provided under WRH.

Essential Job Functions:
A. Maintain office services.
1. Design and implement office policies for Day Support and Residential Services
2. Establish standards and procedures.
3. Sets monthly staff meetings and agendas.
4. Organize office operations and procedures.
5. Prepare time sheets Bi-weekly.
6. Control correspondences.
7. Oversees the use and care of supplies and equipment.
8. Responsible for an adequate level of supplies by reviewing quantity standards for supplies and equipment.
9. Liaise with other agencies, organizations, and groups.
10. Maintain office and Day Support equipment.
B. Supervise office staff
1. Assign and monitor clerical and secretarial functions.
2. Recruit and select office staff.
3. Orient and train employees on company policies and procedures.
4. Supervise staff.
5. Evaluate staff performance.
6. Coaching and disciplining staff.
C. Maintain office records
1. Design filing systems and ensure filing systems are maintained up to date.
2. Define procedures for record retention.
3. Ensure protection and security of files and records.
4. Ensure effective transfer of files and records.
5. Transfer and dispose records according to retention schedules and policies.
6. Ensure personnel files are up to date and secure.
7. Ensure residents files are up to date and secure.
8. Acts as a consultant to all staff members for interpersonal problem-solving or complaints.
D. Participates in all aspects of quality improvements.
E. Evaluates the quality of services which are provided.
F. Prepares and implements annual operating and capital budget.
1. Manages the home within budgeted amounts.
2. Investigates and explains all variances from budget.
G. Communicates effectively and therapeutically with residents, families, social workers, and other members necessary to care for resident.
H. Develops, reviews, and revised policies and procedures of the home.
Job Qualifications:
A. Education/Degree:
1. An Associate Degree with at least one-year supervisory experience and one year experience working in a residential facility or;
2. A high school diploma or a General Education Development Certificate (GED) and a minimum of two years professional experience working in an office setting with supervisory training and/or experience.
3. A combination of education and experience working in an office setting.
B. Other:
1. Demonstrate leadership and management skills.
2. Demonstrates skills in written and oral communication.
3. Possess CPR certification.
4. Medication training.
5. Documentation of prior relevant experience.
