Winchester Thurston School, a Junior Pre-Kindergarten through Grade 12 independent day school in Pittsburgh, announces a search for a Finance Assistant. The Finance Assistant provides key administrative support to the Business Office by managing accounts payable and corporate credit cards, preparing deposits, and assisting with accounts receivable and operational budget reports. The individual in this position will play an integral role in assisting the Director of Finance, as well as the Business Office as a whole, with financial support tasks. The Finance Assistant enhances the school’s reputation by embracing customer service as a core goal and by accepting ownership of and adding value to tasks and responsibilities in a professional manner. The Finance Assistant performs under the general direction of the Head of School and under the daily supervision of the Director of Finance.
Responsibilities
- Process all accounts payable transactions, including reviewing and reconciling invoices, performing data entry and allocation to the relevant general ledger accounts, and processing checks and electronic payments
- Manage the School’s corporate credit card program, ensuring individual cardholders provide receipts and expense account information for all credit card charges statements and ensuring compliance with the School’s corporate card procedures
- Receive cash/checks and prepare cash logs and deposits
- Issue purchase orders at the request of Budget Administrators
- Maintain electronic and hard copy files for the Business Office and ensure proper supporting documentation is in place for all transactions
- Perform general Business Office duties that include, but are not limited to, handling correspondence, filing, processing mail, and communicating with employees, students, parents, and vendors regarding accounts payable and accounts receivable
- Prepare ad hoc and regularly-scheduled budget reports and support budget administrators in their day-to-day budget management; support the Director of Finance in the annual budget preparation process
- Support the Director of Finance by monitoring the timely collection of funds and working with past due accounts and collection efforts
- Complete monthly billing entries for student dining accounts and auxiliary programs
- Support the Director of Finance in the annual audit process
- Support annual state ordering process to procure educational items for the school and respond in a timely manner to any requests from the external audit team
- Perform other tasks, as assigned
Qualifications
- Associate's degree in a related field or equivalent combination of training and experience is required; a Bachelor’s degree or equivalent combination of training and experience is preferred
- Administrative or financial support experience within an accounting and/or academic setting is desirable
- Excellent interpersonal, organizational, and problem-solving skills
- Ability to effectively interact and communicate with employees, parents, students, and vendors
- Ability to pay close attention to detail, meet inflexible deadlines, remain calm during difficult situations, work under pressure, and work with frequent interruptions
- Ability to maintain strict confidentiality
- Skills in verbal and written communications
- Proficiency in Microsoft Office applications, such as Excel and Word
- Experience using Blackbaud Financial Edge software is preferred
