Summary:

The Parts Coordinator is responsible for the full cycle of parts services from ordering, distribution, invoice reconciliation, coordination with accounts payable, and completion of all related paperwork.

Essential Functions:

  • Look up and order all parts requested by plant maintenance technicians using approved vendors to provide the fastest delivery in the most cost-effective manner.
  • Prepare requisitions for stock parts replacement and send out requests for quotation to parts suppliers.
  • Give completed parts quotes to Maintenance Manager for review and approval.
  • Mark all incoming parts with the proper job or ticket number and place parts in the proper location for staging. Include a copy of the order sheet with the parts.
  • Coordinates freight shipments of parts and supplies and handles freight carrier deliveries including locating an open dock door for unloading and confirms product received is correct.
  • Receive stock materials and place them in the designated storeroom location.
  • Checks mail receiving table twice daily.
  • Supports Accounts Payable – may include vendor statement research.
  • Document processes and update as needed.
  • Assists management team in tracking of monthly budget and updates the budget tracking spreadsheet weekly. Maintain an accurate storeroom inventory and parts cost by performing daily cycle counts. Maintain an accurate record of all parts ordered and frequently contact suppliers to expedite parts that are delayed.
  • Learn the Kroger EMPAC and PM CMMS system software.
  • Assist with training and training documentation.
  • Compute, record and proofread data, order parts and supplies, file documents and process purchase orders.
  • Ensure compliance with storeroom and company policies, including 6S principles.
  • Completes special projects and other duties as assigned.

Qualifications & Experience:

    • High School diploma or equivalent.
    • 1 to 3 years of office experience or an equivalent combination of training and experience
    • Knowledge of warehouse operations.
    • 1-5 years’ experience working in the manufacturing industry helpful.

      • Ability to work any shift assigned with potential overtime required.
      • Outstanding customer service skills.
      • Exceptional verbal and written communication skills with numerical ability to do metric unit conversions.
      • Able to handle multiple tasks at once, be organized and demonstrate a high sense of urgency in a fast-paced environment
      • Must be able to maintain a professional manner and effectively handle all situations
      • Requires the ability to relate to others beyond giving and receiving instructions: must partner with colleagues, management, the customer, vendors, etc. in a professional manner
      • Excellent inter-company relations.
      • Ability to maintain professionalism during periods of high volume and stress.
      • Ability to work with all levels of management, staff, suppliers and service technicians
      • General administrative and basic computer skills including internet usage and Microsoft Office Suite.
      • Acts with a flexible and team-oriented approach
      • Proactive in nature

  • May require visiting facility operations in temperatures at or below freezing
  • May carry loads related to travel and occasionally lifts, carries, positions, or moves objects weighing up to 20 pounds
  • Requires the use of various electronic tools
  • Occasionally works evenings or weekends in order to complete objectives or to attend meetings
