Position Overview:
The Clinic Assistant is responsible for the care of the clinic patients under the direction of the Registered Nurse (RN) or the provider. The Clinic Assistant is responsible for departmental clerical and inventory management duties. This role will manage office supply and equipment inventory in a fiscally responsible manner. The position requires excellent organization skills, good communication skills and the ability to multitask. Patient information will be entered in the Electronic Medical Record (EMR). Contacts patients based on direction from nursing staff or providers. Receives and logs patient messages into Power Chart for nursing staff actions. Other duties include coordinating appointments (referrals, follow-ups, and prior authorizations) with other departments and/or facilities and ensuring appropriate materials are available; supports Continuous Systems Improvement (CSI) initiatives; scheduling patients and supports providers on a continuous basis.
Essential Duties & Responsibilities:
- Responsible for inputting all applicable data into the EMR (Cerner).
- Performs appropriate documentation and assists with work comp, prior authorizations, etc. for continuation of patient care.
- Coordinates schedules, procedures, and supplies.
- Responsible for coordination and scheduling of care for patients referred for specialty care.
- Schedules surgery or diagnostic studies including prior authorization.
- Physician schedule in clinic and/or surgery (OR).
- Ensures nursing supplies and medications are properly ordered and available.
- Performs other office staff duties as needed, including but not limited to: chaperoning the Provider, faxing, filing, copying, and covering other staff breaks, and lunches.
- This role is responsible for delivering the highest level of customer service standards for patients and families presenting for services at Winona Health.

Skills and Experience:
Required:
- High School Diploma or equivalent
- 1-3 years of customer service, reception, or business experience
- Good decision-making, communication and organizational skills
- Ability to perform multiple tasks independently in a busy, ever-changing environment
- Basic computer skills: Microsoft Word, Excel, Outlook. Familiar with Patient Information Database (Cerner)
Preferred:
- Post-secondary education in a related field
- Knowledge of medical terminology
- Previous scheduling experience in a clinic setting is preferred but not required
