Job Description
Are you organized, detail-oriented, and ready to take on a pivotal role in a growing company? Winward Electrical Services, Inc. is seeking an Administrative Assistant to join our team. This position plays a key role in maintaining the daily organization of our business, ensuring smooth operations across payroll, accounts payable, accounts receivable, and other administrative tasks.
What You Will Do:
- Greet visitors and answer phones in a professional manner.
- Handle Accounts Payable/Receivable processes.
- Maintain and organize files and documentation.
- Facilitate daily mail distribution and manage bank deposits.
- Generate and send customer invoices promptly.
- Process customer payments and accurately code to appropriate accounts.
- Coordinate with customers regarding outstanding payments.
- Match packing slips with invoices and select invoices for payment.
- Verify vendor information and tax identification numbers.
- Process vendor payments and accurately code to expense accounts.
- Resolve invoice discrepancies by coordinating with vendors.
- Enter and reconcile company credit card expenditures and receipts.
- Update and maintain information in Foundation Mobile.
- All other duties as assigned
What You Will Bring:
- 1-3 years of experience in a similar role.
- High school diploma or equivalent.
- Proficiency in Microsoft Office Suite.
- Strong administrative writing skills.
- Exceptional attention to detail for accurate data processing.
- Professionalism and excellent interpersonal skills.
- Inventory management and reporting skills.
What You Will Experience:
- Work is generally performed in an office environment. While performing the duties of this job, the employee is regularly required to: sit for long periods of time; use computer to enter data; use telephone to converse with customers and employees.
- The employee is regularly required to: perform repetitive wrist, hand and/or finger movement, feel the attributes of objects, grasp, push, and reach with arms or hands.
- Must be able to occasionally move objects of 15 lbs.
- Work may also be performed in the field environment. While performing duties in the field, the employee may be subject to adverse conditions such as cold or hot weather conditions, hazards of a construction site, etc
