Job Description:
The Upward Bound program at Wittenberg University is inviting applications for the position of Administrative Assistant to provide administrative, programming, and project support to the staff of the TRIO Upward Bound program. This is a part-time, 12-month, entry-level, support staff (non-exempt) position, working approximately 20 hours per week.
Essential functions include but are not limited to:
- Establish and maintain organized files and records, gather and enter data in files and databases.
- Serve as the primary point of operational and administrative contact for both internal and external constituencies.
- Organize, schedule and facilitate meetings, conferences and special events as requested (i.e. reserve venues, prepare and distribute materials, arrange catering).
- Assist with course scheduling each summer as directed by director and/or assistant director.
- Assist in managing department budget lines as directed by director (i.e. order supplies, verify and submit invoices and check requests).
- Assist program assistant director in recruitment of prospective students (i.e. coordinate department communications, monthly newsletter, produce and distribute marketing materials, maintain applicable webpages and social media accounts, coordinate student visits and recruitment events with the Assistant Director).
- Assist in hiring and supervision of department student worker(s).
- Maintain applicable alumni records, career information, parent advisory board information and workshop topic information and disseminate as requested.
- Create, compose and edit administrative correspondence and documentation, prepare a variety of technical, statistical, financial and narrative reports, letters and other written material related to the program.
- Maintain relationships with leaders in the Business Office, Registrar Office, Police Division, and other campus Departments. Provide communication links / liaison between the program and the Witt community.
- When necessary, assist in maintaining student records.
- When necessary, gather data, produce and submit reports for department Annual Performance Report.
- When necessary, transport students to various workshops and tutorial sessions.
- Perform other relevant duties as assigned such as special projects, programs, developmental activities, etc.
Requirements:
- A minimum of a high school diploma or equivalent (GED).
- 1-3 years of significant clerical skills.
- Working knowledge and experience using Microsoft Office software, specifically proficient in the use of Outlook, Word, Excel and PowerPoint with the ability and desire to learn additional software applications as necessary.
- Demonstration of excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously with frequent interruption.
- Experience in working with low-income and first-generation students.
- A valid driver's license is required; must meet required insurance qualifications found in Wittenberg Motor Pool policies and procedures.
