Position Title: Secretary to the Technology Department

B. Preferred - College experience a plus.
A. Required - Three (3) years' experience in secretarial and clerical work. Computer competency experience with a variety of programs (e.g., Google, Microsoft Office).
B. Preferred - Three (3) years' experience in secretarial and clerical work. Computer competency experience with a variety of programs (e.g., Google, Microsoft Office). Level 1 technical support skills experience. Working knowledge of plans that support students with disabilities. Experience in supporting educational and school offices in a public-school setting with a variety of functions.
ESSENTIAL PERFORMANCE RESPONSIBILITIES:
- Files and maintains files necessary for the smooth operation of the technology department.
- Places and receives telephones calls and records messages.
- Types a variety of material, such as letters, reports, memos, etc.
- Performs usual office/secretarial routines and practices, and organizes and maintains digital/paper files necessary for the smooth operation of the technology department.
- Maintains an organized work station.
- Maintains/organizes service contracts, supply orders, software certification and licensing agreements.
- In charge of purchasing supplies and receivables needed throughout district, receives, sorts, and delivers incoming supplies and mail for the department.
- Performs any bookkeeping tasks associated with the specific position such as purchase orders and submitting District credit card statements to the Business Office.
- Prepares DocuSign for approval by the Director of Technology and Innovation on all invoices and contracts.
- Maintains, organizes and tracks third party contracts, software certification and licensing agreements, supply orders, software/equipment inventory/fixed assets/printer cartridge inventory, to ensure they are all SOPPA compliant.
- Operates office equipment efficiently.
- Prepares agendas and records minutes for Technology department meetings.1
- Maintains a department calendar of staff time off and collects any attendance sheets, if applicable.
- Processes mileage reimbursement requests for the Department staff who travel within the district.
- Creates processes and procedures to streamline District and department processes.
- Responsible for inventorying all equipment managed by the Technology Department by maintaining it in the inventory management system.
- Provides Level 1 technical support to the Educational Support Center staff.
- Prepares documentation and coordinates dispositions of old or broken equipment.
- Maintains 911 database for all schools and buildings.
- Prepares and maintains records for eRate program.
- Maintains historical records.
OTHER PERFORMANCE RESPONSIBILITIES:
1. Assist in other areas as needed.
2. Complete other duties assigned.

Technical: Uses the district email system, Google platforms, Microsoft Office, and the district's attendance system; Utilizes copies/printers/fax machines to perform work tasks; Prioritizes tasks, as well as manages multiple short-term and long- term tasks simultaneously; Demonstrates strong verbal and written communication skills, including grammar, math and the ability to proofread. Also demonstrates a high level of organizational skills, and accurate typing skills.

PHYSICAL DEMANDS:
Manual Dexterity: Work requires definite skilled and accurate physical operations requiring some close coordination performance.
Physical Effort: Work requires handling average weight materials or equipment up to 20 lbs., but not for sustained periods. Must be able to travel to schools, and seminars/workshops/ professional development, as needed.
Working Conditions: Some exposure to definitely disagreeable elements may exist, i.e., temperature changes, use of steps/stairs, walking long distances throughout the building, etc. Must be available to work evenings and weekends, as needed.
TERMS OF EMPLOYMENT: Full-time, 12-month, non-exempt Union position.
SALARY RANGE: $17.15 Minimum
EVALUATION: Conducted Annually
