Job Description
OFFICIAL TITLE: Staff Assistant/Benefits Coordinator SUPERVISION RECEIVED: Director of Benefits & Training SUPERVISION EXERCISED: May supervise student-employees assigned to the area
General Statement of Duties: The incumbent of this position is expected to assist the director of Benefits and Training in managing and administering Worcester State University's employee benefits programs by facilitating employee enrollment, answering benefit questions, ensuring compliance with regulations, and communicating benefit details to employees. The primary point of contact for employees regarding their benefits package, and is expected to assist employees who experience benefit-related issues. This employee serves as liaison between the university and external stakeholders, including, but not limited to: the Group Insurance Commission, the Department of Higher Education, the State Board of Retirement, the Department of Unemployment Assistance, and the various plan representatives.
Responsibilities
(E = "Essential Functions")
(E) Conduct one-on-one benefit orientations with new hires. Provide clear and accurate information to employees about their benefits package through presentations, written materials, and online platforms, explaining coverage details, and eligibility requirements. (E) Provide ongoing training on benefit changes or updates. (E) Assist with event planning, including: new hires orientations, benefits fairs, AFSCME Professional Development Days, and all other employee training sessions. (E) Assist employees with selecting and enrolling in various benefit plans during open enrollment periods, process changes to coverage, and manage new hire enrollments. (E) Assist employees with filing benefit claims, resolving issues with insurance providers, and monitoring claim status. (E) Assist with tracking accumulated leave usage by employees on leave. (E) Assist with obtaining necessary documentation regarding employee leaves. (E) Responsible for scanning all documents submitted by employees as hard copies, including doctor's notes, completed forms, etc. (E) Provide retirement counseling assistance with application procedures to employees considering retirement. (E) Process unemployment insurance claims. (E) Register workplace injuries with the state's Human Resources Department. (E) Maintain the benefits webpage, updating it regularly to ensure accurate information. (E) Create and maintain accurate and complete benefits files. (E) Track benefit utilization data, and generate reports for management. (E) Assist in designing and maintaining an employee discount program (E) Serve as back-up to the director of Benefits and Training (E) Serve a back-up for front desk duties and phone coverage. (E) Assist with all other events sponsored by the Office of Employee Services (E) Perform other related duties as assigned or as directed. Demonstrate civility and professional, customer-service-oriented behavior, worthy of emulation by other staff and students. Be responsible for contributing to the WSU strategic plan. Requirements
Required Qualifications
3 years of experience working at a Massachusetts state higher learning institution, OR a two-year degree plus credentials and/or experience on employee benefits. Ability to work effectively with all constituencies of an ethnically diverse workplace. Demonstrated oral and written communication skills
Preferred Qualifications
A Bachelor's degree Knowledge of higher education principles, practices and procedures Familiarity with FMLA, PFML, MPLA, ADA, etc. Familiarity with the terms of the AFSCME, APA, and MSCA collective bargaining agreements. Familiarity with the Massachusetts Group Insurance Commission, the Optional Retirement Plan and the Massachusetts State Employees Retirement System. Familiarity with the Massachusetts Comptroller's Office's Warehouse system. Knowledge of content management systems like WordPress would be helpful

This is a full-time, benefited, exempt, professional non-unit position. The firm annual salary for this position is $60,000, commensurate with education and experience.
