About the Role
As an Executive Assistant, you’ll be the right hand to the leadership team, ensuring that day-to-day operations run smoothly. You’ll handle everything from scheduling and email management to coordinating patient workflows and assisting with clinical documentation. If you thrive in a fast-paced, problem-solving environment, this role is for you!
(Must have a quiet, controlled work environment & reliable internet)
For now, this is a remote position—you must have a quiet, professional workspace with reliable internet and cellular service. However, occasional in-person tasks may be required, and the role will transition to an in-person position in the future (exact timeline TBD).
Key Responsibilities
Communication & Coordination
- Answer, screen, and direct phone calls, texts, and emails.
- Prioritize and manage multiple inboxes
- Ensure receipt and processing of patient referral documents received through email
- Communicate between patients, referral agencies, SNFs, billing and other vendors
Scheduling & Documentation
- Maintain and update GoogleSheets tracking sheets for scheduling, planning, and data analytics
- Track and reconcile schedules vs. actual patient visits.
- Prepare and initiate daily clinical notes from an old EHR to a new EMR system
- Gather essential patient data (labs, dates, etc.) for advanced wound care procedures.
Healthcare administration & Operational Support
- Coordinate with IT service providers (WoundAlly, PCC, etc.).
- Retrieve and process weekly mail from the UPS mailbox.
- Distribute mail to stakeholders, billing departments as well as other vendors as needed.
What You Bring
- 3 years of experience as an executive assistant/care coordinator, ideally in healthcare or other clinical settings.
- Exceptional organizational, time management, and multitasking skills.
- Strong written and verbal communication skills.
- Proficiency in Google Workspace (Sheets, Docs, Gmail) and EMR systems (Aprima preferred).
- Ability to problem-solve independently while staying detail-oriented.
- Bilingual in Spanish is a plus but not required.
- Reliable transportation for occasional in-person tasks.
