Administrative Assistant to the Executive Director
Classification: Full Time, Exempt
Reports To: Executive Director, Wyoming Valley Children’s Association
Job Description: To provide support to the Executive Director, office management, development and special events administrative assistance.
· Assist the Executive Director with Board of Directors responsibilities including reminding Board members of meetings, recording minutes and maintaining Board of Director’s term limits and contact information
· Support Human Resource tasks including maintenance of handbooks and personnel files
· Maintain Executive’s appointment schedule by scheduling meetings and teleconferences
· Conserve Executive’s time by reading, researching and routing correspondence; collecting and analyzing information; initiating telecommunications
· Assist Executive prep for upcoming meetings, appointments and events
· Process all outgoing and incoming mail including donations
· Serve as the welcoming individual when visitors enter the school and first point of contact for answering incoming calls
· Ability to manage financial deposits
· Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies, placing supply orders and verifying receipt of supplies
· Purchasing supplies both online and in-person as needed
· Track and save all media announcements and articles pertaining to WVCA and add them to the organization’s media records
· Ensure operation of equipment by completing maintenance requirements, following manufacturer’s instructions, troubleshooting malfunctions, calling for repairs, etc.
· Record and maintain faculty and therapist’s service logs to track service numbers
· Prepare “thank you” letters to donors and community members
· Assist Executive Director and Special Events Coordinator and all community events as needed
Qualifications:
· Associate degree in office administration or equivalent experience. Three years of experience in a similar experience required
· Computer literate, proficient in Microsoft Word, Excel, PowerPoint and Outlook
· Exemplary planning, organizational and time management skills
· Excellent communication skills and attention to detail
