General Summary

Executive Assistant to the ELT and also provides some support to the broader CEO staff. Concurrently this person would work with the ELT to set travel policy and then audit and enforce the policy once established.

EA Essential Functions / Major Responsibilities :

  • Coordinating executive schedules and calendars with the Board, customers and partners
  • Coordinating Townhall, planning, program review and other executive-level meetings
  • Critical call pick-up when ELT members are busy or traveling, works to get critical items covered by the appropriate department head.
  • Typical EA activities as needed including but not limited to drafting emails, reviewing and editing documents, research, entering expense reports, and organizing and filing
  • Coordinating travel of the SLT team as well as group / team travel when over 5 persons
  • Office Manager for HQ location in Schaumburg, IL.

Corporate Travel

  • Setting travel policy with the ELT and CFO
  • Auditing travel expenses, assessing expense data and enforcing travel policy globally
  • Assessing vendors and negotiating company rates, with review and approval of CFO and CEO
  • Assisting with complicated travel coordination between departments, sites and customers
  • Works with marketing to coordinate travel for shows, conferences and events
  • Achieves annual T&E savings and / or revenue to expense ratios
  • Skills and Abilities

  • Understands the need to maintain tight professional communications, maintains a professional demeanor and upholds confidentiality
  • C-level internal and external written and verbal communication skills. Ability to build rapport with internal stakeholders, management, suppliers and partners.
  • Works closely with cross-functional teams
  • Ensures that goals are met in all responsibility areas.
  • Proficiency in MS Office and other sales related software packages (email, web meeting, CRM, etc.)
  • Education and Experience

  • Associate degree preferred.
  • 5 or more years of experience as an Executive Assistant for a technology company
  • 5 or more years of experience and proven track record managing travel for a multi-site, multi-country business
  • Highly organized with the ability to prioritize tasks effectively. Has an attention to detail.
  • Excellent written and verbal communications skills. Understands the need to maintain tight professional communications, maintains a professional demeanor
  • Ability to build rapport with internal stakeholders, management, suppliers and partners.
  • Strong customer service skills.
  • Working Conditions
