This role is perfect for individuals with strong administrative skills and a passion for education. As an Administrative Assistant, you will handle daily administrative tasks, support various team functions, assist with marketing and recruitment, and help prepare for our educational programs.
We are looking for organized, self-motivated individuals eager to contribute to the efficiency and success of our educational programs.
Responsibilities
Timely Communication Management :
- Respond promptly to emails, calls, and messages from agencies, students, staff, and management.
Admin Tasks :
Maintain accurate records in the database with regular updates.Collect and review pre-arrival paperwork from program participants and staff.Provide regular updates to agencies and parents, ensuring all required documentation is complete.Submit necessary paperwork, including photos and forms, to universities.Book entry tickets for excursions and maintain accurate financial and booking records.Assist students with placement tests and technical issues.Participate in level testing for student placement (training provided).Prepare and issue contracts, invoices, and letters of acceptance.Monitor and track incoming and outgoing payments.Verify and ensure all payments are completed accurately and on time.Marketing :
Conduct market research and identify potential agency partners.Establish communication with prospective agencies and build strong relationships.Create and distribute newsletters to agencies.Follow up with agencies to maintain partnerships.Social Media Management :
Assist with content creation for platforms like Instagram.Respond to messages and requests on social media.Recruitment Support :
Assist in recruiting seasonal staff by sourcing candidates, responding to inquiries, scheduling interviews, and coordinating documentation.Meetings with Management :
Participate in regular meetings to discuss progress and establish goals.Collaborate on strategies to improve administrative processes.Additional Responsibilities :
Take on various tasks as needed to contribute to the team's success and efficiency.Work Hours
Full-time position (40 hours per week).In-person role based in Aventura / Hallandale Beach.Requirements
Bachelor’s degree.1–2 years of administrative experience.Excellent written and spoken English skills.Proficiency in additional languages, preferably Italian.Strong proficiency in computer systems and IT tools.Exceptional organizational skills and self-motivation.Benefits

Salary : $37,000 - $42,000
