ABOUT THE PROGRAM
Youth For Understanding USA (YFU) is running a 2-week program for 15 high school students from Germany, with a focus on Community Service. This is a grant-funded program, coordinated through our partner, YFU Germany. During their two-week stay in the US, the students engage in English Language classes, community service activities, and a few social and cultural activities. They are placed with volunteer host families, who invite the students to be a part of their family for these two weeks. The students make ever-lasting bonds with other students, their host families, the volunteers, and the employees and contractors that work with them.
Program runs from Saturday, October 25th to Friday, November 7, 2025.
RESPONSIBILITIES and ESSENTIAL FUNCTIONS
The role of Program Coordinator (PC) has three major parts: Program Logistics, Student Placement, and Program Execution.
Program Logistics: Funding of this program dictates that students shall have an arrival orientation, attend English classes, complete 5-6 different volunteer activities, shadow at an American high school (1 day), and have a farewell event. This schedule will also include supplemental cultural activities around the area. As such, the PC will:
- Collaborate with the National Office (NO) to complete the logistics of the programs.
- Arrange visits, activities, and logistics for school engagement/visits, community service activities, English language teacher/class (secure location, YFU will provide ESL instructor), and social/cultural activities, including securing venues.
- Alert the NO when they will need assistance or any additional materials not standardly available.
- The NO will directly purchase anything necessary for the activities as determined by the PC (admissions tickets, food for orientation, etc.), and provide materials for orientation and a farewell event. Pre-approved out-of-pocket expenses will be reimbursed.
Student Placement: The PC will be responsible for finding host families for 15 students and two adult chaperones (17 placments total) in the Saginaw/ Great Lakes Bay Region. The PC:
- Will be provided with a handbook to assist with this activity.
- Will utilize PC network to find families new to YFU.
- Are expected to assist potential host families with completing their application and all supplementary documentation and requirements, including conducting host family interviews.
- Are Responsible for ensuring that all families meet all U.S. Department of State regulations for hosting. Training will be provided to ensure understanding and adherence to these standards.
Program Execution: While the students are on program, the PC will:
- Chaperone the students during the duration of their program. The chaperoned activities are mostly from 9-5 Monday-Friday (the PC can set the final schedule). Weekends and evenings are spent with the host family.
- Be the students’ and host families’ first point of contact, should there be an emergency situation on program. PC will be provided YFU staff contacts to families for situations that may escalate.
- Accompany the students to, from, and between activities, which includes transportation, once the host families have dropped them off at designated meeting place for the day (YFU has budgeted funds for a large passenger van that the coordinator will be responsible for driving).
- Meet students at the airport to greet them and ensure they are picked up by their host families, potentially picking up or dropping off the students at the airport. Coordination with Host Families is essential.
- Facilitate an arrival orientation. Materials and curriculum will be provided.
- Submit a narrative report upon completion of the program, with pictures, documenting the program outcomes and providing suggestions to improve the program.
- Submit a financial report of any expenses with related receipts at the program conclusion. YFU USA expense policies will be provided and must be followed in order to receive reimbursement.

- Strong organizational skills, attention to detail, and ability to work under pressure on multiple tasks with deadlines
- Ability to adhere to Department of State rules and regulations
- Computer literacy
- Demonstrated Customer Service and problem-solving experience
- Experience leading groups of teenagers
- Strong networking and community-building skills
SCHEDULE FOR PERFORMANCE
Placement and logistical efforts for the fall 25 USA for You program will take place at the contractors’ discretion during the weeks prior to the students’ arrival on program, however, placement of all students and German chaperones should be completed no later than 3 weeks before arrival. Tentative logistics should be completed 1 month in advance.
Students will be on program from Saturday, October 25th to Friday, November 7, 2025. Throughout the duration of the program, the Project Coordinator will be directly involved “on site” according to the scheduled plan.
Within two weeks of the end of the program, the Program Coordinator will submit a narrative project report and financial report, including an invoice. Templates will be provided.
PAYMENT SCHEDULE
Payment of $3,500 will be provided in a lump sum after the conclusion of the program and submission of the narrative project report and financial report. No payment will be made until reports have been received.
