As our Front Desk Administrative Assistant, you’ll be the welcoming face of our office, ensuring day-to-day operations run smoothly and providing essential administrative support. You’ll help maintain a well-organized and positive workspace that reflects our commitment to excellence.
Job Responsibilities
Front Desk & Office Management
- Welcome visitors warmly and maintain a professional, friendly atmosphere.
- Handle incoming phone calls, emails, and general inquiries.
- Manage office supplies, mail distribution, and overall office cleanliness.
- Coordinate meeting schedules, appointments, and conference room bookings.
- Prepare meeting spaces (e.g., setting up refreshments, cleaning up afterward).
- Provide administrative assistance to various departments as needed.
- Maintain records, organize files, and help with document preparation.
- Contribute to special projects, tasks, and general office duties as assigned.
Experience / Requirements
- Bachelor's degree in Human Resource or Business Administration strongly preferred; PHR or SPHR certification is a plus.
- 2-5 years of Human Resources and payroll processing experience.
- Fluent in speaking, reading, and writing Spanish.
- Preferred background in the hospitality or restaurant industry.
- Proficient in HRIS systems and Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work a flexible schedule to meet operational and payroll cycle needs.
- Strong organizational skills with the ability to manage multiple projects simultaneously and meet deadlines.
- Ability to act with integrity, professionalism, and confidentiality.
