Zemora Ventures is partnered with a small, professional, family-owned and operated company in search of an Executive Assistant to provide office management and HR support on a full-time, direct-hire, basis.
This position is seated in the Corporate Office and is designed to provide high-caliber support to 8 retail franchise locations. An organized individual with a positive outlook, strong work ethic, and high regard for integrity will excel here. In this position, you can anticipate a fast-paced environment, opportunities for independent, resourceful, problem solving, on-the-job-training, high visibility company-wide (reporting to the owners and CFO), and a wide range of business communications with the utmost regard for customer-service.
POSITION SUMMARY:
- Clerical & administrative: manage phone calls, mail, written/verbal/electronic correspondence, organize and minute meetings, make travel arrangements, data entry, order and maintain office supplies, maintain physical and/or electronic filing
- Human Resources: Process employment paperwork, payroll, benefits coordination, analyze and complete corporate and/or para-legal documentation, contracts etc.
- Day-to-day activities that are related to the maintenance and upkeep of the businesses and properties including interpretation of leases, licensing, record-keeping, utilities, fleet, billing, filing and others
- Coordination & Problem Solving: source information, channel to the appropriate authority, coordinate with external experts – lawyers, landlords, accountant, insurance agents, marketing and advertising and others
- Communication and collaboration with Franchisor, outside callers, vendors, store managers and other stakeholders
- Reports, projects and research on various topics, as required and under guidance
- Any other tasks not covered above to ensure smooth functioning of the operations and corporate office
QUALIFICATIONS:
- You must be a team player who is proactive, takes initiative, remains flexible, is results-oriented and comfortable in a rapidly changing environment; we're looking to hire somebody who is highly motivated, organized, energetic and punctual with keen attention to detail
- Positive “can do” attitude and a strong work ethic
- Ability to work and communicate well with a wide range of personnel and external partners and work independently and under pressure
- Ability to handle and maintain confidential and sensitive information; trustworthiness a must.
- Must be able to handle high-volume, urgent and important matters while producing high-caliber results
- Tech savvy and proficient in Microsoft Office (Word/Excel/Outlook), payroll management, Adobe, Internet, etc. Accounting software experience is a plus (QuickBooks)
- Prior experience and qualifications in an office setting preferred
- Excellent writing, communication and comprehension skills
- Pleasant, strong interpersonal skills, customer service, with ability to diffuse tense situations
