What are the responsibilities and job description for the Part-Time Office Assistant position at Zion Lutheran Church?
The part-time Office assistant serves as the first point of contact for parishioners, visitors and guests to Zion Lutheran Church and provides back-up support to the Office Administrator and Executive Assistant. Position is primarily responsible for making sure that the front desk is covered during office hours, e.g. 9:00 a.m. - 1:00 p.m. Monday and Tuesday; 9:00 a.m. - 4:00 p.m. on Wednesday and 11:00 a.m. - 3:00 p.m. on Thursday. Actual hours to be worked to be agreed upon. This position reports to the Director of Finance and Human Resources.
Key Responsibilities include but are not limited to the following:
1) Receptionist: Responsible for overseeing the front desk; sorting/distributing mail; answering incoming telephone calls; taking message; sending/receiving faxes and handling requests from diverse sources. Seeks answers and provides timely feedback to those requesting information.
2) Opens mail; logs incoming checks or monies that are mailed or dropped off at the Church office. Responsible for providing the bank deposit bag to bank courier every Wednesday morning.
3) Collect attendance sheets from Saturday evening and 2 Sunday services; update member attendance in database.
4) Monitor the Church's Prayer Request box in the Welcome Center and forward the prayer requests to the designated prayer group.
5) Update and maintain the Church Member Directory.
6) Maintain contact database to generate lists for various ministries and Boards.
7) Work with the Office Administrator and Director of Finance and Human Resources to develop sufficient knowledge of Microsoft Office Suite programs and general office operations in order to assist when needed during busy seasons and vacations.
8) Assist staff with special projects, e.g.
Annual Easter and Poinsettia flower sales
Printing weekly, collating, folding weekly bulletins, announcements and newsletter; visitor bags and related items.
New Member Sunday - preparing name tags and new member bulletin board
Updating data base, church roster and physical membership registers.
9) Other similar duties as may be assigned.
SKILLS REQUIRED:
1) Welcoming presence in person and on the telephone
2) Advanced skills working within Microsoft Office Suite - specifically, Word, Excel, Outlook and Publisher required.
3) Experience working with Mailchimp preferred, but not required.
4) Experience working with a database - church-based database software preferred but not required.
Job Type: Part-time
Pay: $17.95 - $19.00 per hour
