What are the responsibilities and job description for the Scheduling Coordinator position at ZMT Recovery?
A Scheduling Coordinator will serve as the coordinator for schedules and appointments between massage therapists and patients. Your role will be heavily depended on your ability to successfully communicate and problem solve quickly. You must take initiative with all clients and therapists. Schedulers must listen to the needs of the person requesting the appointment in order to determine the amount of time the appointment will require and then find the time that works best for both the patient and the therapist. They should be professional and have the ability to manage multiple communications. A good Scheduler can determine the priority of patients’ needs to determine when an immediate slot should be found or if a patient can come in based on the current schedule. Schedulers also manage cancellations, including a therapist who may need to reschedule a full day, finding the best alternatives for all involved.
Specific Duties:
- Organizes workflow and appointment by reading and routing correspondence, collecting & making sure customer information is inputted correctly such as: DOB EMAIL PHONE NUMBER FIRST NAME & LAST NAME
- managing clients: follow ups, after care, rescheduling
- CLOSE OUT DAY - all clients are checked out properly and if rsd
- Manages department schedule by maintaining calendars for department personnel for all therapists
- Blocking off appointment times so we don’t overlap (until we get new office)
- Assist manager with marketing, etc (if is asked to) Asst manager sending ZMT STAFF meeting time
- arranging meetings, conferences, teleconferences, (get with manager to block off meeting time for staff once a week)
- manages travel ( Car rental) in Costa Mesa
- Schedules meetings for zabrina with information given to do so, such as: graphic designer, banks, tax lady etc personal time…
- Make sure clients from both locations are all checked out
- Position is Monday-From; on-call scheduler.
- Saturdays clients will need to be followed up with therapist every Monday
- New clients consults need post op therapy message sent at the end of there session or end of day
- Keep tracking of packages when booking how many more sessions do they have .. therapists are required to communicate that with you
- Follow up and try and reschedule old clients
- Communication with clients should be a little more personable rather then a copy and paste message
