Administrative Assistant
The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention to detail, an ability to multitask, manage schedules, and meet deadlines.
Responsibilities
Provide front-desk coverage by managing a busy, multi line phone system, greeting guests as they enter the office, managing incoming / outgoing mail and shipments, and maintaining an organized, clean office environment.
Contact parents as needed.
Provide administrative support to senior leaders, including email correspondence and generation and distribution of memos, letters, spreadsheets, forms, and other communication.
Maintain filing system and student information system, contact database, employee list, and inventory.
Order and oversee office supplies, classroom materials per teacher requests, and food deliveries.
Provide other support to administrators and teachers as needed, including printing / copying, special events, and coordination of appointments and meetings.
Track spending and maintain receipts, hourly employee reporting, and other financial information.
Required skills and qualifications
High school diploma or equivalent
Proven administrative experience
Superb written and verbal communication skills
Strong time-management skills and multitasking ability
Aptitude for learning new software and systems
Team-player” attitude
Preferred skills and qualifications
College degree or equivalent
Previous success in office management
Experience managing budgets and expenses
Experience developing internal processes and filing systems
Comfortable handling confidential information
