Description
Job Purpose
Under the direction of the Assistant Manager of Employer Partnerships, the Volunteer and Alumni Coordinator is responsible for managing Y.O.U.'s volunteer program and staffing volunteers for all of Y.O.U.'s events and workshops. This person engages, recruits, schedules, educates and trains volunteers to deliver the best experiences for Y.O.U.'s youth, young adults, staff, and community partners. The Volunteer and Alumni Coordinator spends the majority of time promoting and creating awareness of Y.O.U.'s volunteer program through networking and scheduling/coordinating volunteer experiences. This role coordinates all alumni events and tracks/monitors alumni details to understand where alumni are and what they are doing once they finish a program with Y.O.U. The Volunteer and Alumni Coordinator strengthens relationships with our community partners and fosters a positive image of Y.O.U. through the volunteer and alumni program. This position will also support placement of participants in both work experience and direct hire opportunities by utilizing our alumni and volunteer connections.
Essential Functions
  • Maintain and manage the volunteer program by engaging the current volunteer pool and actively recruiting new volunteers through creative networking, promotion, and awareness. Work with various public and private businesses/organizations to develop or strengthen partnerships where appropriate to recruit or utilize volunteers.
  • Develop and implement a volunteer recruitment and engagement plan for Y.O.U.'s programming needs, including recruitment engagements and interactions with special interest groups.
  • Ensure the volunteer experience is positive through effective recruitment, application, interviews, screening, placement, onboarding, training, and overall supervision of volunteers. Serve as the point of contact for all volunteer inquiries.
  • Engage the program teams to coordinate and plan volunteer events for their youth and young adults each year. Demonstrate understanding of the program needs and needs of the youth/young adults. Staff volunteers appropriately, provide training, and set expectations prior to an event.
  • Coordinate all volunteer events to include set-up, training, supervision, and breakdown of all spaces.
  • Maintain volunteer database for accurate headcount and analysis of recruitment and tenure reports. Create reports based on personal information, demographics, attributes, interests, skillsets, and other criteria as needed. Track and monitor volunteer hours. Administer satisfaction and improvement surveys and analyze findings.
  • Design and develop volunteer manuals, training materials, etc. for all workshops and events. Continuously update for improvements.
  • Launch and manage public alumni awareness campaign. Gather and track data on alumni and maintain alumni database. Survey alumni on long-term effectiveness of Y.O.U. programming. Engage appropriately to bring them back to Y.O.U. as a volunteer, donor, or future employer.
  • Keep calendar up to date with scheduled events, presentations, volunteer recruitment and alumni initiatives, etc. Provide regular communication with management and other department staff.

Requirements
Education
  • Bachelor's Degree in Social Work, Psychology, Education, or other related field from an accredited college or university preferred.
  • An additional 4 years of work experience as detailed below can be substituted in lieu of a bachelor's degree. High School Diploma required.
Requirements
  • 2 years of experience in volunteer coordination, staffing, and/or management.
  • At least one year of recruiting, community engagement, or similar experience.
  • Familiar with Northeast Ohio public and private business sectors.
  • Must pass a background BCI/FBI check as a condition of employment.
Knowledge, Skills and Abilities
  • Belief and commitment to Y.O.U.'s mission, vision, and values.
  • Excellent verbal, written, and interpersonal communication skills. Must possess active listening skills.
  • Must be proficient with Microsoft Office programs and have experience with databases, spreadsheets, and word processing.
  • Must have valid transportation to/from Y.O.U. offices, partner organizations, high school worksites, and event locations.
Work Environment
  • This position is hybrid with frequent travel to local offsite locations including high schools up to 50% of the time. This position is scheduled to work in the office 4 days a week and is scheduled to work remotely one day a week. The work pace for this position is sometimes fast paced where work is required for up to 2 hours at a time. Low supervision from managers with intermittent prompts. Social interaction with students and team members required frequently.
  • This position requires such physical abilities as standing for periods of time during events, sitting for computer and phone work, lifting up to 25 lbs periodically and carrying supplies, and walking throughout office buildings and worksite locations.
  • Majority of work is done in a controlled environment. The environment in which the job is performed outside a normal office space may include exposure to extreme temperature, noise, heights, or other hazards. All remains the same for any additional requirements for training.
