General Summary:
This role is critical in ensuring accurate and timely processing of accounts payable and payroll for a multi-FEIN company operating in multiple states.
Key Responsibilities:
Accounts Payable
Process, verify, and reconcile invoices and expense reports.
Ensure timely and accurate payment of vendor invoices and employee reimbursements. This includes tracking recurring monthly invoices to ensure prompt payment.
Maintain vendor records and handle all vendor-related inquiries.
Reconcile accounts payable transactions and assist in month-end closing activities.
Manage the AP aging report and resolve any discrepancies.
Assist Property Manager and Accounts Receivable Manager with tenant reconciliations and other requests.
Payroll Processing
Process bi-weekly Payroll for multiple FEINs whose employees span multiple states; ensure accurate and timely payroll processing for all employees including timely issuance of paychecks, direct deposits, and payroll taxes.
Assist in the daily operations of the payroll department.
Review and audit payroll for accuracy, verifying timesheets, earnings, deductions, and tax withholdings.
Handle employee payroll inquiries and resolve payroll discrepancies.
Quarterly reconciliations with the general ledger.
Manage year-end payroll processes, including W-2 and 1099 preparation and distribution. Resolve complex payroll transactions and discrepancies.
  • Ensure compliance with all payroll regulations and company policies.
Compliance and Reporting
Stay updated on payroll laws and regulations across multiple states.
Ensure compliance with all relevant federal and state laws, including wage and hour laws.
Prepare and submit required financial reports and documentation for internal and external audits.
Maintain accurate records and documentation in accordance with company policies and regulatory requirements.
Systems and Process Improvement
Utilize and maintain accounting software and payroll systems.
Identify and implement process improvements to enhance efficiency and accuracy.
Maintain updated process and procedure documentation.
Collaborate with HR and other departments to ensure smooth and integrated payroll and AP processes.

Preferred Qualifications
Bachelors degree preferred with 2-4 years experience with payroll and accounting systems and/or training.
Intermediate math skills.
Demonstrated organizational skills and use of critical thinking skills
Ability to prioritize tasks and work with interruptions.
Ability to understand and carry out complex oral and written instructions.
Interpersonal and customer service skills to deal positively with colleagues, employees, and vendors including governmental agency employees.
Proven oral and written communication skills.
Ability to compose email with a professional tone.
Proficient with MS Office and able to learn new software rapidly.

An
equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.

While performing the duties of this job, the employee is regularly required to sit; use hands and fingers to handle or feel; talk or hear. The employee is required to stand and walk. The employee is occasionally required to reach with hands and arms; climb or balance; and stoop, kneel, crouch or crawl.
