POSITION SUMMARY:
The JROTC Administrative Assistant is a part-time position that is responsible for performing a wide variety of duties as an assistant to the Senior Army Instructor (SAI), JROTC at Riverside Military Academy (RMA). Assignments are directed by general policies, precedents of the school system, and instructions from the SAI. Within the limits of the employees assigned authority, the employee is expected to provide support for the SAI and other JROTC teachers. Work involves planning, coordinating, and executing administrative, operations, and training activities of the RMA JROTC Program. The employee operates under general direction and is expected to plan and organize work methods producing assigned outcomes.
ESSENTIAL FUNCTIONS:
Compiles operational statistics and gathers other data as the SAI may require.
Supplies information requested through various means of communication from teachers, Cadet Command, Colleges, Service Academies, etc. as directed by the SAI.
Assumes clerical functions and maintain data files as the SAI may assign.
Prepares applications, acceptance letters, and marketing materials for career academics as well as maintain spreadsheets of enrollment data, etc.
Assists SAI with payroll forms, field trip applications, prior approval forms, etc. for the RMA JROTC programs.
Assists SAI with monitoring purchases, preparing budgets, and preparing amendments as needed to meet RMA requirements.
Prepares requisitions for purchases, etc. as requested by SAI and other JROTC staff to include supplies, contracts, computer hardware, staff development services, field trip expenses, etc.
Prepares and updates spreadsheets for purchases by SAI and other JROTC instructors
Assists SAI with submitting JROTC courses to be included in curriculum materials for RMA.
Assists SAI with maintaining records and other documentation as required to support RMA JROTC.
Participate in instructor hiring, assignment and termination actions in conjunction with the SAI.
Establish and maintain all office personnel records, and other JROTC and RMA files.
Supervise and assist JROTC unit management system (JUMS) and JROTC command information management system (JCIMS) transactions as subject matter expert.
Review and assist in unit and program assessment rating tool (PART) report submission to higher headquarters. Calendar/Training Schedules 8. Develop, coordinate, update and disseminate annual district JROTC calendar.
Collect and review JROTC unit weekly training schedules.
Requisition textbooks, blank forms, publications, instructional material, and office supplies and equipment.
Alternate Billing Official in the absence of the billing official, approve and certify government purchase card (GPC) transactions. Regulations
Update and maintain all JROTC program regulations.
Subject matter expert for district JROTC competitions regarding rules, regulations, procedures, judging and scoring.
Manage JROTC unit transportation.
Manage award purchases and coordinate award presentations. Memorandums of Instruction (MOI)/Operations Orders (OPORD)
Coordinate district and community JROTC support when requested.
Disseminate requirements and track mandatory Army and district training attendance and completion.
OTHER RESPONSIBILITES:
All other duties as assigned by SAI.
EDUCATION, EXPERIENCE, SKILLS REQUIRED:
Bachelors Degree (preferred) from an accredited college or university.
Ability to plan, coordinate and execute routinely recurring actions without supervision.
Applicant MUST possess excellent oral and written communication skills.
Ability to establish and maintain effective working relationships with general public, co-workers and members of diverse cultural and linguistic backgrounds regardless of race, religion, age, sex, disability or political affiliation.
Be competent in Microsoft Excel, Word, and Outlook and able to learn new information technologies rapidly.
