Our winter season presentations showcase a rich variety of classical, jazz, global roots, spoken word, family, and dance programming, at its state-of-the-art venue, The Conrad, as well as off-site venues throughout San Diego. In addition to our winter season and award-winning Learning & Engagement Programs, La Jolla Music Society also produces SummerFest, a renowned four-week chamber music festival featuring world-class artists and ensembles performing an array of concerts and programs curated by SummerFest Music Director, Inon Barnatan.

SUMMARY

The Facility Manager is responsible for the fabric of The Conrad, including its outward appearance and operations systems comprising mechanical, electrical, plumbing, kitchen/bar, et. al. The Facility Manager will manage various service/maintenance agreements with third party vendors, as well as coordinate inspections, testing, permits, and licenses as required by law. Ultimately, the main responsibility of the Facility Manager is to ensure that The Conrad is in show-ready condition for all events at the venue.

JOB DESCRIPTION

  • Direct Reports: Facility Coordinator, Contract Systems Vendors, Janitorial, Grounds Keepers, and Security.
  • Manage and maintain the building and grounds of The Conrad; direct staff & contractors; oversee the upkeep of architecture & equipment; necessary supplies are on hand.
  • Responsible for the operation of building mechanical, structural, and electrical systems such as HVAC, architectural lighting, elevator/lifts, and plumbing, as well as determining the ongoing schedule of repairs, services, renovation projects, waste management, and safety inspections.
  • Oversee the facility management program including preventative maintenance and life-cycle requirements for building and equipment. Contribute ideas for better practices to address the evolving needs of The Conrad and the facilities department.
  • Manage public and staff safety, including contract security personnel, camera systems, and keycard access to various parts of the building, safe egress, fire alarm, AED maintenance and training.
  • Maintain and update The Conrad’s Emergency Response Plan and Safe Egress plan as necessary.
  • Work with Operations & Rental staff to prepare The Conrad for each public event. This includes but is not limited to scheduling housekeeping and security; programming the climate control systems; ensuring that all public spaces are clean and patron ready; and coordinating room set-up with Operations.
  • Establish and coordinate the facilities team to provide facilities & contract staff management at all public events; to coordinate and oversee vendors for contract and non-contract maintenance; and to perform maintenance and repairs as reasonable to ensure optimal coverage and minimal interruption of day-to-day functions.
  • Provide opportunities for facilities staff training in work methods, tools & equipment, and other areas of personal development that help fulfill the mission of the Facilities Department.
  • Develop and communicate schedules for contracted staff in housekeeping, security, and building maintenance.
  • Coordinate regular testing and inspections of the mechanical, hydraulic, and fire/life safety systems.
  • Identify and remedy any potential safety hazards in public and staff areas.
  • Represent The Conrad with local authorities governing safety and building compliance.
  • Ensure The Conrad’s compliance with the Americans with Disabilities Act.
  • Maintain records of maintenance and repairs, recommending preventative maintenance tasks and schedules, and prepare plans for short- and long-range repairs and replacement.
  • Oversee facility utilities (Gas and Electric, Water, etc), monitoring to maximize energy efficiency and control budget.
  • Oversee and inspect work performed by staff and vendors verifying that the work meets industry quality and safety standards.
  • Develop and manage the facilities budget including day-to-day operations and capital expenditures.

Qualifications

  • Minimum 3-5 years equivalent experience in Facility Management.
  • Knowledge of building systems such as HVAC, architectural lighting, plumbing, physical plant etc. sufficient to provide basic diagnostic and supervision, for contracted system vendors.
  • Knowledge of and capability to make small repairs to systems and surfaces of the building. May include common carpenter and interior surface finishing skills, some mechanical knowledge, and basic tool use and maintenance.
  • Knowledge of public safety requirements, appropriate guidelines, and resources.
  • Experience budgeting, planning, and scheduling for facility upgrades, maintenance, and personnel.
  • Experience scheduling and supervising crews and vendors.
  • Ability to read blueprints/ground plans/as built documentations and make small edits/updates as necessary.
  • Knowledge of Autocad/Autodesk suite for purposes of reading and making simple edits of building drawings a plus.
  • Experience working in Performing Arts centers and/or concert environments a plus.
  • Capability to assess and adapt quickly, and prioritize to varying needs of the facility, events, and personnel or patrons.
  • Ability to lift up to 50lbs.
  • Willingness to work nights and/or weekends as necessary.
