Job Description
· The Executive Assistant to the President‘s Office will provide a wide variety of complex and confidential support including communicating information on behalf of and as acting as a liaison for assigned Administrators to/with JPII Schools, staff and families, Board of Directors, and other internal groups.
· Professionalism is essential.
Essential Duties And Responsibilities: (Other duties may be assigned)
· Perform a variety of administrative duties: welcome visitors, issue communications to staff and various stakeholders, answer/screen calls and visitors, and schedule appointments and meetings.
· Serve as recording secretary for Board of Directors and JPII Council meetings: generate agendas, maintain minutes, schedule meetings, and provide support where needed.
· Responsible for communication with staff including but not limited to staff professional development days, prayer requests, etc.
· Schedule and assist with preparations and hospitality for various meetings.
· Maintain JPII Catholic Schools’ academic calendar and system-wide State reporting.
· Responsible for JPII Newsletter and weather-related communications to families and staff, and cascade information to the schools based on established communication protocols to share with individual school communities.
· Maintain JPII Catholic Schools’ Policy Manual and ensure all policies are up-to-date, distributed, and accessible.
· Collaborate with Advancement to post, revise, and update materials on the JPII schools’ websites.
· Maintain and ensure student/parent handbooks are updated annually and annual back-to-school forms are up-to-date, accessible, and sent to all JPII families prior to the start of the school year.
· Order and maintain stationery for all JPII schools and departments.
· Oversee that the branding for JPII Schools is accurate and meets guidelines.
Other Responsibilities:
· Schedule President and Vice President’s calendars – make sure President and Vice President move according to calendar and have the information for each meeting as needed.
· Manage Office – make sure the office is running smoothly.
· Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
· Follows the St. John Paul II Catholic Schools’ policies and standard processes and respects the teachings and practices of the Catholic faith.
· Participate in professional development as determined by the President.
· Perform any other work reasonably related to the position.
Qualifications:
· College Degree, preferred.
· Three to five years of successful experience as an Administrative Assistant, preferred.
· Ability to maintain a high level of confidentiality.
· Possess professional speaking, writing, and editing skills.
· Possess computer skills to include Microsoft Office products and the willingness to learn new skills.
· Highly organized with attention to details and accuracy.
· Professional etiquette and composure as a representative for JPII Schools as all times.
· Ability to manage multiple projects with shifting priorities and competing deadlines.
· Team player but demonstrates the ability to work independently and be a self-starter.
· Ability to work a flexible schedule when necessary.
