Responsibilities of the Assistant Corporate Secretary:

  • Support the Corporate Secretary in a fast-paced office with all functions related to maintaining, updating and the organization of company records, and other tasks as assigned.
  • Complete applications and forms for permits and licenses with various entities or agencies.
  • Compile data and documents required for various projects.
  • Store, organize, and maintain Corporate records, documents, and files.
  • Follow up with various internal and external contacts, vendors and departments to see tasks and assignments to completion.
  • Ensure all company licenses, certificates, registrations, and required insurance policies remain current and up to date, as required.
  • Assist in completing tasks such as, but not limited to: business property statements, bond applications, business property statements, insurance forms, audits and inspections, CDTFA, CDFA, DCC, local municipalities and other various contracts.
  • Secure, and renew Cannabis licenses, permits and certifications required, by all Federal, State and local agencies.
    • Assisting with the provision of high-level secondary support to current CFO, CEO and Managing Members for certain elements of planning and administering to the Board of Directors.
    • Assist in the preparation and filing of annual and other reports required for state registrations; liaise with the finance department and other departments, as applicable.
    • Liaising with colleagues, department managers and external advisors in relation to entity records and governance policies.
  • Review, comprehend, and retain details from commercial leases, permit requirements, cannabis legislation, compliance regulations, zoning verification letters, research real estate, Cannabis ordinances and Cannabis programs opening up in various markets.
  • Write and produce high-quality, detailed Board and Committee meeting minutes, and other various correspondence.
  • Communicate with local and State regulatory agencies.
  • Complete short term projects, as well as track, and continue to make progress on long term projects.
  • Detailed communication, and keeping the Corporate Secretary updated with the statuses of various tasks & projects.
  • Strong knowledge of all GSuite applications, and advanced file handling and conversion skills, knowledge of different file types. 
  • A high level of attention to detail, resourcefulness, patience and perseverance
  • Provide a detailed EOD at the end of each work day detailing the progress and developments with assigned tasks and/or any ongoing projects.

The Ideal Candidate:

  • 3 years of cannabis permitting and/or licensing, strong comprehension and ability to read building plans, liaise with architects, structural and civil engineers.. corporate, or paralegal experience is strongly preferred.
  • Verifiable experience.

Additional Details:

  • This role must report in-person, to an onsite office in Rio Vista, CA
  • Work schedule is Monday - Friday 7:30am - 4:00pm
  • Travel to different locations may be required on occasion
  • Valid Driver's License and reliable transportation is required
  • Exceptional punctuality and attendance
  • FBI/DOJ Live Scan required
