Successful long-standing commercial real estate development, investment and property management company located in New England is seeking a highly motivated Vice President of Property Management to join its team. In this leadership position the individual would be responsible for managing a portfolio of approximately 1.25M square feet and growing of office, retail and mixed use properties. A highly organized, self starter with an entrepreneurial mentality is a must for this fast paced, rewarding job overseeing a growing portfolio of commercial property. This position reports directly to company ownership and day-to-day duties and responsibilities would include: monitoring the financial performance of managed property including the creation of annual operating and capital budgets and reporting to Ownership, managing the physical facility including managing a team of maintenance personnel, recommending and overseeing capital improvement projects, maintaining strong positive relationships with tenants, managing lease renewals (in conjunction with the leasing department) with existing tenants, preparing vacant spaces for lease including coordinating marketing activities (In conjunction with the Marketing Manager and leasing department). OVERVIEW

  • In this leadership role in the Property Management Division, the Vice President of Property Management reports to Company Ownership and is responsible for the profitability and monitoring of the performance of all properties against their respective operating and capital budgets, as well as the efficient day-to-day operation of the Division.
  • Be a hands-on manager who will coordinate the Property Management activities at all Company-managed properties.
  • Suggest improvement strategies to help grow the Company.
  • Become familiar with all management systems and promote the corporate philosophy.
  • Schedule all assigned projects from start to finish, completing them on time and on budget.
  • Ensure properties and grounds adhere to the highest possible standard.
  • Manage a team of maintenance personnel and at least one (1) Senior Property Manager.
  • Develops and maintains strong relationships with existing Tenants.

PROPERTY MANAGEMENT

  • Prepare and administer the properties’ operating and capital budgets to be coordinated with corporate accounting personnel. Provide detailed explanations for all variances.
  • Partner with the accounting department in preparing and analyzing the Company-owned/managed properties, budgets and financials, as well as management of all revenue and expenses for all Company-managed properties.
  • Establish and administer estimated/actual CAM and Real Estate Tax recoveries to be reviewed by corporate accounting staff.
  • Coordinate real estate tax review process for properties; communicate tax issues to corporate personnel.
  • Review and monitor accounts receivable and effectively resolve delinquencies.
  • In conjunction with accounting department, reconcile CAM and Real Estate Tax recovery accounts annually for applicable Tenants.
  • Monitor upcoming lease expirations and take the lead on negotiating lease renewals with existing tenants.

MAINTENANCE

  • Supervise the onsite and corporate maintenance technicians, including scheduling, work, and expenditures.
  • Assure the properties are well maintained, tenants are satisfied with their premises, and maintenance projects are completed on time and on budget.
  • Develop comprehensive annual and quarterly inspection process for the properties.
  • Ensure adherence to Property Management Policies and Procedures; ensure compliance with codes, regulations and governmental agency directives.
  • Coordinate insurance requirements for the properties and associated vendor/suppliers.
  • Assure optimal functioning of building systems (HVAC, fire/life safety equipment, elevators, etc.) and security systems.
  • Evaluate service contract requirements; prepare spec bids; and negotiate and manage vendor contracts.
  • Review and approval all accounts payable.

MARKETING & LEASING

  • Perform lease administration duties, including: preparing vacant space for lease; showing space to prospects (when needed); assisting with lease proposals; verifying lease data; and keeping abreast of future space requirements. These activities will be coordinated with corporate management personnel.
  • Assist in all lease negotiations, legal, space planning, tenant fit-up and move-in arrangements for all new tenants. Provide the accounting department with all pertinent terms and conditions of new leases.
  • Coordinate with Vice President of Construction all tenant fit-up and construction requirements and work with architect as needed.
  • Establish and maintain open relationships with tenants, vendors and sub-contractors to ensure solid and reliable relationships.
  • Create lease abstracts for all newly signed leases.
  • Promote and market the property management and maintenance services brand in order to generate new third-party business.

COMPANY OWNERSHIP REPORTS

  • Collaborate with Company Ownership in the development of an integrated long-range strategy for the financial stability and growth of all properties.
  • Prepare an annual Capital Improvement Proposal and Related Budget to present to Company Ownership.
  • Review with Company Ownership all property management contracts.
  • Generate and review quarterly financial statements.

REQUIREMENTS

  • Bachelor’s Degree in business administration, finance, economics, or related field.
  • Minimum of five (5) years experience in commercial property/facilities management.
  • Must be a self-starter, detail oriented, analytical, computer literate, and have basic accounting skills.
  • Effective written and verbal communication skills.
  • Proficiency with Microsoft Office and working knowledge of Yardi.
