Accounts Receivable Clerk
Reports to: Controller
Wage Range: $22.00 - $26.00/hr.
Job Knowledge, Core Competencies and Expectations
· Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.
· Ability to operate computer and other general office equipment.
· Familiarity with generally accepted accounting principles.
· Knowledge and ability to perform required role in emergency situations.
· Excellent verbal and written communication skills
· Ability to understand BEO and communicate billing issues, summarize anticipated budgeted revenue/expense and bill events in a timely manner (within 24 hours of event ending.)
Primary Objective:
To maintain accounts receivable accounts in a timely and accurate manner and provide general office clerical support for the Controller.
General Responsibilities:
· To keep the accounts receivable updated daily as to both charges and payments on account.
· To keep the office records organized in an efficient manner.
· To assist Controller in order that monthly and annual statements as well as special project work, may be completed in an efficient and expedient manner.
Job Tasks/Duties
· Audits point-of-sale charges, credit card sales and event revenues.
· Maintains members’ records and accounts and posts charges to accounts daily.
· Prepares and mails member charges and statements and processes monthly billings.
· Communicates to the Controller as to the status of receivables, specifically regarding chits that are not turned in, filled out incorrectly, illegible signatures, billing discrepancies, coordinates the resolution of member disputes with the appropriate department head and the member.
· Advises Controller about delinquent member accounts.
· Performs month end account analysis of accounts receivable, making recommendations for members to be turned over to collections.
· Prepares anticipated cash receipts collection amount for cash management.
· Updates daily revenues.
· Prepares daily bank deposit
· Maintains: statement files, member accounts, deposits (daily, weekly, and monthly), sales reports, sales journals, outside business information, function sheets and member requests.
· Respond to inquiries from members related to billings.
· Processes reciprocal club billing.
· Coordinates with managers on complimentary items.
· Distributes weekly sales reports to the management team.
· Files accounts receivable, member information, and assist in filing accounts payable invoices as needed.
· Assist in entering accounts payable invoices as needed.
· Assists with miscellaneous office responsibilities in the Accounting Department.
· Attends departmental and club training meetings.
· Backup to the receptionist as needed.
Minimum Qualifications:
· Motivated professional with strong analytical skills who performs with a high degree of accuracy and is attentive to detail.
· Exceptional organizational, interpersonal and communication skills required.
· Proficient in Excel. Intermediate working knowledge of MSOffice – Outlook, Word, PowerPoint.
· Familiarity with Point-of-Sale Systems (preferably Jonas)
· Ability to read, analyze, and interpret general business documents, reports, financials, etc.
· Ability to write reports, business correspondence, and procedures.
· Ability to effectively present information and respond to questions from groups of managers, members and co-workers
· Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
· Ability to read and interpret documents with regards to policies, procedures, and accounting implications.
Education and/or Experience
Associate degree preferred.
