Role Description

The Administrative Assistant works in a fast-paced, challenging team environment. The assistant provides administrative support to the Resident Resource Center (RRC) team, manages the RRC as the office manager, and oversees resident feedback through in-person interactions, email, phone, and software tools. 

Duties & Responsibilities

  • Performs daily office functions, ensuring that the resident's needs and requests are dealt with in a timely and professional manner. This includes being the primary contact for residents visiting or calling the Resident Resource Center.
  • Assist Director in planning and preparing for Committee Meetings, New Owner Orientations, and Special Meetings to include attendance at these meetings, as requested, preparing and posting all necessary agendas, presentations, copies, exhibits, notices, etc. for these meetings as well as securing a location for meetings as requested. Assisting with the preparation of draft minutes as requested.
  • Creating, updating, and maintaining reports, including tickler files, landscape installations, and other reports as needed.
  • Overseeing and maintaining the Feedback system for the Resident Resource Center Team to include the collection of homeowner feedback, creation of work orders, tracking and recording of all items completed, and follow-up with residents, including following up with team members to ensure follow-up and necessary responses are provided to residents.
  • Respond to resident inquiries and provide timely information and referrals, including follow-up with necessary team members to ensure resolution.
  • Own the resident experience and strive to be a great resource for all residents, contractors, and visitors.
  • Assist the Director with resident communications, including newsletter articles, communication plans, and proactive outreach.
  • Serve as SmartWebs Administrator: Maintaining contact and account information, uploading photos and documents, etc.
  • Oversee coordination and completion of bulk mailings to include production, collection, and instruction on each mailing.
  • Advise the Director of any community issues that arise and may need their attention or support.
  • Ensure that all office supplies are ordered and inventory maintained.
  • Performs other duties as assigned.
  • Office hours are Monday – Friday, 8 am to 5 pm, and occasional evening meetings as requested.

Qualifications

  • Excellent “people” skills. Enjoys working with people.
  • Assertive, professional, and poised disposition. Adaptable.
  • Ability to demonstrate good time management. Highly organized.
  • Ability to communicate effectively both orally and in writing. Ability to take meeting minutes summarizing the key points of discussion and recording verbatim motions and votes as they occur during the meeting.
  • Ability to establish and maintain good working relationships with the Board, staff, residents, volunteers, and contractors.
  • Review and have a general understanding of Governing Documents, Design Guidelines, and meeting requirements.
  • Ability to maintain confidentiality of closed session material and personnel matters.
  • At least two years experience as an Administrative Assistant or five years of comparable work experience. 
  • Strong computer skills with Microsoft Office and database software.
  • Attention to detail is required.

The Organization - The Sterling Ranch Community Authority Board is a political subdivision and public corporation of the State of Colorado, formed pursuant to C.R.S. § 29-1-203.5 (the “CAB”), through the Community Authority Board Establishment Agreement (CABEA) by and among seven metropolitan districts, known as the Sterling Ranch Colorado Metropolitan Districts No. 1-7 (the “Districts”). The CAB was organized for the purpose of effecting the development, operations and maintenance of the public improvements, services, and facilities that serve Sterling Ranch for the benefit of the Districts, residents, and property owners. In accordance with the CABEA, the CAB is to schedule, phase, and configure the needs of the Districts’ residents and property owners as development demands require. The CAB is governed by an eleven (11) member board of directors.
