POSITION OBJECTIVEThe Human Resources Assistant will work collaboratively with the Human Resources Director to provide daily support to the firm personnel. This position will assist in all employment related activities including recruitment, onboarding, employee engagement, and separations. The main focus of this role will be on the daily management of support staff coverage to ensure all attorneys and paralegals are supported. The Human Resources personnel works closely with the Chief Operating Officer and Managing Shareholder to ensure firm support and processes are aligned with overall firm values.
  • Initiates and maintains the annual time off request process for hourly support personnel and corresponding coverage support plans. Works with the office Receptionist for last minute changes to the coverage support plan.
  • Reviews and approves time off requests for hourly support personnel. May enter time off requests on employee’s behalf if they are unable.
  • Assists hourly support personnel with daily clock in and out issues. Initiate password resets in the timekeeping system as needed.
  • Monitors time off usage and refers any concerns to Human Resources Director for follow up on leave of absence or other necessary discussions.
  • Works with the office Receptionist to develop front desk coverage plans for daily breaks and any days scheduled off.
  • Provide training and guidance to rain new hourly support personnel on the timekeeping system and time off request process.
  • Works with the Payroll Specialist to review and correct hourly support personnel’s timecards prior to each payroll.
  • Work with Human Resources Director to monitor secretarial assignments and provide suggestions for updates.
  • Reviews the monthly employee roster with Human Resources Director and Chief Operating Officer to ensure all updates are accounted for.
  • Updates and sends an email to all employees with the office phone list each month. Will also update the attorney cell phone number listing as needed.
  • Assists Human Resources Director with new hire preparations including information packets and schedule coordination.
  • Creates new hire profiles in the HRIS system and manages updates related to changes in employment status and terminations. Notifies Payroll and Accounting personnel for any payroll, benefit, or accounting related impacts.
  • Works with office Receptionist to manage the monthly bus passes and add or remove personnel from the listing.
  • Works with Human Resources Director to update annual documents for employees including the holiday listing, new hire packets, benefit information, and any other compliance documents for the offices.
  • Manages the personnel files including electronic scanning and physical file upkeep.
  • Assists with vendor evaluation and selection for a variety of Human Resources functions.
  • Assists Human Resources Director with planning employee appreciation and other annual events including company picnic, holiday party, open enrollment, and immunization clinics.
  • Assist Human Resources Director with employee recognition and engagement events that encourage and support teamwork and collaboration.

  • Strong proficiency in Microsoft Office Suite.
  • Proficiency in HRIS/payroll systems administration. Paylocity system experience is preferred.
  • Strong sense of confidentiality for employee and client sensitive information.

WORK ENVIRONMENT/PHYSICAL DEMANDSWhile performing the duties of the job, the employee will perform sedentary work exerting up to ten (10) pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move object. Must see, hear, talk, and perform tasks requiring manual dexterity; kneeling, standing, walking, crouching, stooping, reaching, and other similar tasks requiring physical activity. Will operate a computer, fax, copier, and telephone. Work is generally performed in a temperature-controlled office environment.
REGULAR SCHEDULEThis is an hourly full-time position with a regular schedule of Monday through Friday work hours. Extended hours may be needed on occasion to complete firm objectives.
