Webster Montessori School is Hiring a Facilities Manager Near Webster, NY

Facilities Manager

Webster Montessori School seeks an experienced Facilities professional to join our Administrative team beginning August 26, 2024.

Hours: Monday - Friday, 12:30pm – 4:30 pm, plus occasional evenings and weekends to manage work required outside of normal school hours.

Salary: $22-25/hour based on experience

Reports to: Head of School

Description: Responsible for the maintenance, operations, and management of all school facilities and grounds. Works with Head of School, Business Manager and Facilities Committee to create a year-by-year facilities operating plan and budget, establishes long-range facilities plan in support of operational and strategic goals. Ensures facilities’ compliance with building codes, guidelines, and regulations. Responsible for preventative, routine and emergency repair and maintenance of all facilities and support equipment. Inspects and evaluates such factors as HVAC systems, lighting, size, condition and suitability for occupancy. Conducts routine and repair maintenance work on a daily and weekly basis, as needed by the staff.

Essential Responsibilities:

‒ Responsible for the maintenance of WMS buildings and grounds – including, but not limited to making repairs and replacements, basic groundskeeping, scheduling inspections, reviewing facilities for upcoming needs.

  • This may include managing the following vendors/service providers currently hired by the school and taking on some of these responsibilities as needed:
  • Snowplowing
  • Landscaping
  • Cleaning crew/janitorial

‒ Gathers and reviews data concerning facility or equipment specifications, company guidelines, required completion schedule, and execution feasibility.

‒ Develops a budget at the end of each school year for the upcoming school year, taking into account routine and upcoming repair and maintenance work, as well as building and grounds upkeep.

‒ Ensures that all facilities and maintenance work is completed within the allocated budget for the year.

‒ Flags any non-budgeted expenses to Head of School for operations/board approval

‒ For work/projects that need to be outsourced:

o Reaches out to a range of vendors/providers for comparison of quotes

o Reviews and estimates design costs including equipment, installation, labor, materials, preparation, and other related costs.

o Manages project and ensures timely completion within allocated budget

‒ Responsible for managing to approved budgets and approving contracts and purchases for agreed upon outside services to ensure conformance to established drawings, specifications, cost and schedule.

‒ Work with the Head of School and the Facilities committee to set long-term strategic goals and plan in accordance with WMS vision, mission and values.

Other Responsibilities:

-Attend Professional Development and staff training as requested by Head of School

Education and Skills

‒ Bachelor’s degree or Associate’s Degree from an accredited institution (Engineering degree preferred or related field) with professional experience in the field OR a combination of higher studies in engineering and applicable work experience.

‒ Ability to make repairs and replacements

‒ Ability to work with large numbers, budgets and spreadsheets

‒ Great communication and interpersonal skills

‒ Organization and time-management skills

‒ People and project management experience

Preferred Experience and Qualifications:

‒ Understanding of the project execution of architectural, electrical, and HVAC systems.

‒ Project management skills coupled with the ability to effectively manage and partner with contractors, vendors and team members.

‒ Knowledge of applicable laws and regulations including those mandated by OSHA, ADA, NFPA, NEC, EPA and local Building Code.

‒ Proficiency in Microsoft Office and Google Suite

‒ Experience working with engineering blueprints, process specifications and building layouts.
