Description Our growing estate planning law firm is hiring an Office Assistant in Grandville, Michigan to provide our clients with the ultimate customer service experience and handle crucial tasks to support the attorneys. You'll play an integral role in creating memorable client experiences and helping our attorneys provide superior service to more clients and their families.
This is an important position as you are the first one people see when they come through our doors and the regular point of contact for many of our clients. Our firm is growing quickly and needs high-quality and reliable front-line support to meet our business's needs.
A typical day will include greeting visitors, handling incoming and outgoing mail, managing digital and print correspondence, scheduling and confirming meetings, gathering and clarifying information over the phone and via email, and ensuring our legal team has everything that they need to meet deadlines. You'll also keep our office and files neat and organized to ensure our firm serves our clients promptly and efficiently.
Initial compensation will be based on your prior experience, current pay, and availability. Raises and bonuses will be based on job performance. Our need is full-time, but we are open to hiring multiple part-time candidates who can work seamlessly and effectively together. For full-time employees, we offer paid holidays and paid time off. Additional benefits are under consideration but are not yet offered by the firm.

Responsibilities •Ensure files contain all information needed to progress to the next step and call, email, and write to collect any missing information or to clarify any ambiguous information to prevent attorneys from having a mid-meeting surprise
•Warmly greet visitors, prospects, clients, and reference sources arrive at the office
•Correspond to clients by sending letters, notecards, emails, newsletters, and thank-you cards when requested
•Schedule meetings, travel arrangements, and appointments for the team as requested
•Support additional administrative tasks as needed to assist the team and guarantee the smooth operation of the firm
Qualifications •To handle legal files, conduct research, and manage the administrative activities of a law firm, you must be familiar with law management software
•Demonstrated experience with customer service in a professional setting; legal experience is a plus
•Familiarity with Microsoft Office programs and popular apps (Google Calendar, Outlook, etc) are essential along with basic computer skills
•Associate's degree or some college is preferred; high school diploma or equivalent is necessary
•Must have great time-management skills, and organizational skills
