Property Management Support – Commercial

Company:

Pretium Property Management LLC is a commercial property management company owned by the principals of a private real estate investment firm founded in 1992 and headquartered in Haddonfield, NJ. The company is actively involved in the acquisition, financing, and asset-management of commercial properties, primarily neighborhood shopping centers, throughout the Eastern Seaboard, the Carolinas, and North Texas.

Job Duties:

This hybrid position will provide administrative, accounting, and clerical support to the entire management team. This position facilitates the day-to-day operation of the property management offices and various functions including lease administration, tenant and vendor communications as well as provide direct support for the Property Managers. This work requires an ability to perform with minimal supervision and a high level of attention to detail. The position will require performance of the duties and assignments as outlined below. Typical duties shall include:

Accounting and Reporting:

o Assist with preparation of monthly financial reports

o Ensure that all property and tenant information is correct through lease review

o Prepare monthly tenant billing statements

o Download and reconcile bank statements for assigned properties

o Accounts Payable and Receivable

o Assist with CAM reconciliations

o Helps management team meet calendar deadlines

o Bank deposits and rent posting

o Prepare escrow withdrawal requests

o Assist with the annual budgeting process

Tenant/Vendor Relations:

o Develops and maintains a close working relationship with tenants and vendors through regular communications. Responds to concerns and problems and participates in their resolution by clarifying issues, offering suggestions, communicating with staff and providing timely follow-up.

o Assists in enforcing terms and provisions of leases, such as use clauses, insurance requirements and collection of payments.

  • Frequent communication and interaction with tenants and vendors via written correspondence, email, and verbal discussions. Ability to document and file records of the communications is required.

Administration:

  • Provide admininstrative support to Property Managers
  • Maintain tenant and administrative filing system and assures all documents are properly filed. Direct and assist in new tenant move-ins, assemble packages for rent relief requests and assignments.
  • Abstracting new and existing leases as needed.
  • Performs clerical tasks for staff as needed.
  • Maintains the contractor/vendor list.
  • Prepares various property management reports and checklists. Coordinates general building and site maintenance repairs to ensure timeliness and cost-effectiveness.
  • Maintains insurance files for coverages required by tenants and vendors.

Job Requirements

Required Knowledge, Skills and Abilities:

o A high school diploma and a minimum of three years of related experience is required. Administrative experience or office manager and/or paralegal training are a plus.

o Prior property management experience is expected.

o Knowledge of property accounting software such as Yardi is a plus.

o Proficient use of Microsoft Office Suite (Excel, Word, Outlook & powerpoint) is required. Must possess the ability to calculate simple figures using sum, average or percentage formulas in Excel.

o High proficiency in written and spoken English is required. Bi-Lingual a plus.

o Must possess good communication skills.

o Detail-oriented and well organized.

o Must have the ability to manage time and multiple projects efficiently and achieve the required results

o Notary Public or willingness to obtain

This is a full-time hybrid position. The office is based in Haddonfield, NJ.

Job Type: Full-time

Pay: $20.00 - $23.00 per hour

Expected hours: 40 per week
