Practice Manager

SUMMARY
Aston Veterinary Hospital has been caring for pets in Aston and Media — and greater Delaware County — for more than 70 years. We serve areas all throughout the region. We are a full-service, AAHA-certified, small animal facility dedicated to providing professional healthcare for your pet, in a friendly environment where they feel loved and supported.
The Practice Manager is the financial and operational leader of the Hospital. He/She works together
with the hospital leadership as well as CVP to ensure efficient day to day operations and successful
financial performance. The Practice Manager leads by example to motivate and inspire the team to
provide an excellent experience for our clients and their pets.
ESSENTIAL DUTIES & RESPONSIBILITIES
Human Resources
• Administrate all human resource functions including staff recruitment, hiring, training,
scheduling, performance evaluations, counseling, and terminations.
• Manage annual performance evaluations. Responsible for performance evaluations for
supervised staff with the assistance of the department lead.
• Implement and maintain Employee Safety and Disaster Plan procedures and manuals.
• Assure compliance with OSHA and Workers’ Compensation programs.
• Distribute all necessary communication materials with staff, including policy changes, relevant
information discussed at meetings, and client feedback.
• Mediate personnel grievance, documenting all reprimands and counseling meetings
Operations
• Keep CVP management informed of all relevant issues regarding staff, client issues, premises or
equipment needs, etc.
• Respond to client concerns in a timely and appropriate manner. Resolve medical client
complaints in partnership with the Lead Veterinarian and RDO
• Implement marketing activities in partnership with CVP and the Lead Veterinarian.
• Assure premises, physical plant and equipment are in safe, clean and optimum working
condition, including the scheduling of regular maintenance.
• Assure compliance with all regulatory issues including radiation monitoring, business permits
and licenses, and animal control ordinances.
• Maintain, and when necessary, amend client education handouts.
• Oversee inventory purchasing and management within budget guidelines.
• Schedule and attend all required meetings, including staff meetings and the hospital leadership
team meeting.
• Attend CVP hosted meetings.
• Administer the hospital’s patient reminder system.
• Oversee implementation of client wellness program and guidelines and monitor compliance in
partnership with CVP.

• Manage the hospital practice management system.
• Complete additional hospital projects as assigned.
Marketing
• Monitor, implement, and evaluate client communications (i.e.; direct mail, signage, social media
accounts)
• Insure that marquee is kept updated with timely messages
• Responsible for leading the development of referral relationships with humane societies, pet
stores, etc.
• Attend community functions to build potential client base
Financial
• Participate in the yearly budgeting process, monthly P&L reviews and discuss weekly financial
reports with the lead doctor. Proactively monitor financial progress of hospital, analyze results,
and adjust, if necessary, to ensure all budget goals are achieved.
• Partner with RDO to submit capital expense requests per CVP guidelines.
• Verify accuracy of vendor statements and match appropriate invoices to statements
• Prepare the weekly CVP Business Package.
• Responsible for managing bi-weekly payroll process.
• Oversee daily cash and check deposits and manage local banking relationship.
In addition, the Practice Manager may work scheduled shifts during which he or she will be responsible
for providing client service and/or direct patient care.
SUPERVISORY RESPONSIBILITIES
The Practice Manager is responsible for managing all hospital team members.
REQUIRED EDUCATION & EXPERIENCE
High school diploma or general education degree (GED); or one to two years of veterinary or human
healthcare experience and/or training; or equivalent combination of education and experience.
CERTIFICATIONS, LICENSES, REGISTRATIONS
Certification in Veterinary Practice Management preferred.

COMPUTER SKILLS
To perform this job successfully, an individual should have working knowledge of the Adaptive and the
Netsuite accounting systems; MS Excel, MS Word, and MS PowerPoint. Experience with Veterinary
software a plus.

The Practice Manager is required to participate in operational meetings hosted by CVP. Potential to
attend off site conferences, seminar and workshops.

exposed to bites, scratches and contagious diseases. This role routinely uses standard office equipment
such as computers, phones, photocopiers, and filing cabinets.
