Full Time Hours *MUST BE ABLE TO WORK THE FOLLOWING SCHEDULE*

Mondays & Thursdays: 7:30 am - 5pm

Tuesdays, Wednesdays & Fridays : 7:30 am - 3:30 pm

*Office hours may extend to 4:30pm on an additional day in the future with advanced notice given.

Job Responsibilities:

  • Reports directly to the Office Manager and serves as a liaison between the clinical and administrative departments to facilitate smooth patient flow.
  • Manage patient communications, including phone calls, texts, emails, and appointment confirmations, ensuring timely and professional responses.
  • Facilitate a strategic scheduling approach to optimize productivity and enhance patient flow for optimal outcomes.
  • Collect and update patient information, including medical history and insurance details.
  • Obtain verification of dental benefits and accurately input information into practice management software.
  • Present treatment estimates, addressing any insurance inquiries to ensure patient understanding, address concerns and objections, resulting in case acceptance.
  • Ensure accurate posting of insurance payments with meticulous attention to detail, guaranteeing proper allocations and adjustments to support efficient financial operations.
  • Maintain a collection rate at 98% of production or higher by effectively managing the revenue cycle (collecting at time of service, working insurance aging reports, sending statements, making collection calls to past due accounts).
  • Proactively follow up with patients regarding unscheduled treatment plans and recare, promoting importance of oral health.
  • Capture photos and post content on our social media stories of patients and families to keep our followers engaged.
  • Perform additional duties as assigned by the Office Manager and Doctor to support the smooth operation of the office.

Position Qualifications:

  • Minimum of 2 years administrative experience in a dental office setting.
  • Comprehension of all dental insurance and billing protocols.
  • Experience with Dentrix Ascend is preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Demonstrated ability to maintain a high-energy, positive attitude in a fast-paced environment, fostering a welcoming atmosphere for patients and their families.
  • Excellent interpersonal skills with the ability to communicate effectively and empathetically with patients of all ages and backgrounds.
  • Strong organizational skills with the ability to prioritize multiple tasks effectively.
  • Adaptability to respond to a fast-paced environment with interruptions and changing priorities.
  • Professional demeanor and excellent communication skills: written, verbal, and in person.
  • Demonstrated commitment, ownership, and attention to detail in work tasks.
  • Flexibility and adaptability to meet the needs of patients and the practice, including the ability to handle challenging situations with professionalism and empathy.
  • Commitment to continuous improvement and willingness to actively contribute to the success of the practice through teamwork and collaboration.
