TITLE: Informational Technologies Clerical/Administrative Assistant
REPORTS TO: Director, Information Technologies
FLSA CLASSIFICATION: Part-Time, hourly, 20 hours weekly
SUMMARY: As assistant to the Director, this position would serve in an administrative and record-keeping role. Incumbent’s principle responsibilities would include overseeing software licensing, contracted services, such as Zoom, Survey Monkey, Livestreaming, domain name renewal, etc. and the purchasing of needed equipment and supplies. The Assistant would also coordinate IT needs for meetings and other events.
ESSENTIAL RESPONSIBILITIES:
- Commit to the Mission/Vision of the Sisters of Saint Joseph
- After consultation with Network Administrator or Database Administrator, purchase computers, peripherals, storage devices, printers for internal services and for local communities and some sponsored works
- Purchase approved computers and other technology devices for individuals and local communities
- Purchase printer supplies, toners, labels, training software
- Purchase new software and upgrades
- Track and renew domain names as needed
- Maintain contracts for technology purchases
- Maintain records on all hardware and software purchased
- Maintain records hardware and software distribution
- Maintain records of and submit invoices for payment
- Process data updates as necessary
- Manage IP Phone System - including setting up new users’ voice mailboxes, transferring phone numbers to different locations, troubleshooting inconsistencies and communicating with Pathcomm and Netcarrier when issues arise
- Coordinate calendar of events where technology support is needed – will require working closely with Office of Communications and other Internal Services offices.
- Manage Project/Program Technology Support database – direct requests to proper member of IT/IS or Communications as needed.
- Support in the management of IT Helpdesk tickets – directing requests and following up on completion.
- Manage video-conferencing accounts; offer support and guidance over the phone to Sisters and Partners as needed
- Assist with Communications Office projects as assigned by supervisor
- Maintain and administer Congregational Mail lists (ssjphilalists.org)
Skills and Experience:
· Proficiency in MS Office Suite
· Experience with Adobe Suite, particularly Acrobat DC
· Experience in the use and troubleshooting of computer systems, ideally with both PC and MAC
· Familiarity with/willingness to learn FileMaker database
· Excellent record keeping abilities
· Experience with online purchasing
· Strong organizational skills
· Financial accuracy
Education:
· BA in related field
· 5 years’ experience in technical environment
