PART-TIME ADMINISTRATIVE ASSISTANT – UPPER ARLINGTON

Columbus Women's Wellness - Psychological & Consulting Services is a specialized mental health services provider dedicated to supporting the unique needs of women of all ages and adolescent girls twelve years of age and older. CWW provides individual and couples psychotherapy, psychoeducation, group therapy, and professional consultation. The CWW Administrative Assistant, along with all other staff, provide a first impression and experience to our clients.

Position Responsibilities:

  • Demonstrates outstanding ability to engage in primary job duties of client relations, client interface, and client information gathering and scheduling.
  • This position requires an individual with ability to manage day-to-day location duties independently while under supervision of CWW Practice Manager.
  • Demonstrate knowledge of statutes, regulations and CWW policies of governing areas in which job responsibilities are performed and ensure all records meet standards, regulations, policies and procedures.
  • Demonstrate excellent interpersonal skills while greeting clients, answering calls, scheduling clients, and returning emails. Always ensure professional and courteous communications via telephone, fax, face-to-face, correspondence and any other method of communication used with all clients and providers of practice.
  • Accept job-related direction from Practice Manager.
  • Demonstrate comprehensive understanding of insurance verification process, client & insurance claim filing.
  • Engage in client billing, insurance resolution and generating office reports as needed.
  • Work collaboratively with CWW providers to provide administrative and client relation support.
  • Serve as support and act as informational liaison to providers, related professionals, clients, and people served reporting the key issues to appropriate management staff.
  • Perform a variety of routine clerical duties including but not limited to filing, copying, faxing, organizing, sorting mail and posting, maintaining clean and tidy facilities, etc.
  • Complete all other relevant responsibilities as assigned by the Practice Manager.

Candidate Requirements:

  • 2 years administrative office experience
  • 2 years experience in mental healthcare environment
  • 2 years experience with practice management systems
  • Post high school education
  • Excellent interpersonal skills – mature/professional verbal and written communication skills and ability to build positive relationships with co-workers, supervisor, providers, and clients
  • Possess computer proficiency (G-Suite, Office, Excel)
  • Ability to respect diverse CWW clients always
  • Ability to make independent decisions, quickly problem-solve, and apply available resources
  • Ability to self-activate, maintain work productivity, and seek guidance when needed
  • Possess creative initiative, ability to work independently and with frequent interruptions
  • Possess time management skills that support punctuality and reliability
  • Provide accurate attention to detail (this assessment begins with the application process)
  • Ability to maintain stable work behaviors daily and possess adequate individual coping skills.

Additional Information:

  • This is a part-time position (20-25 hours per week); Days to be determined; Work hours between 8am and 4pm.
  • $17.50 per hour, increase to $18.00 per hour after successful 90-day probationary period
