    JOB DESCRIPTION
    OPERATIONS ASSISTANT
    Reports to: Director of Operations
    Evaluated by: Director of Operations
    Terms: 247 days per year, 7.5 hours per day
    Essential Functions:
    • Serve as a confidential assistant and administrative aide to the Director of Operations.
    • Attend Board of School Trustees meetings; including night meetings to greet attendees as needed..
    • Comptroller of district facility scheduling software for the district. This includes working with all staff members and the public with the facility rentals. Send out weekly schedules for the setups, etc. Maintains all the invoicing of the outside groups for the facility rentals.
    • Organize and maintain district operation files and records, answer telephones and direct calls to the appropriate department or person, and handle calls if knowledgeable on the subject under discussion.
    • Meet the public, provide general information and records, and deal effectively with a variety of personalities and situations requiring tact, judgment, and poise.
    • Support building-level administration as needed by assisting with day-to-day building operation needs.
    • Perform a variety of executive support tasks that may be highly confidential and sensitive.
    • Write or draft correspondence, reports, documents, and other written materials.
    • Review and edit written material for accuracy, format, arrangement of material, and clear representation of the district.
    • Review incoming correspondence; initiate replies as appropriate, route matters requiring action to an appropriate staff member.
    • Coordinate and facilitate the Director of Operations calendars to arrange appointments, meetings, and conferences.
    • Act as liaison between the Director of Operations and staff.
    • Coordinate overall administrative activities/coverage and provide a consistent presence in the day-to-day functioning of the Operations Department..
    • Provide support and assistance to the Operations Team including the Director of Transportation, Director of Food Service, Director of Technology, Director of Custodial Services, Director of Facilities and Maintenance, etc.
    • Participate as needed in special projects.
    • All other duties are assigned by the Director of Operations and/or the Superintendent.
    • Print new employee badges and create key fobs
    • Assist the front desk at the Central Office as needed.
    Qualifications, Skills & Abilities:
    • High school diploma with some college preferred.
    • Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment, as well as English usage, spelling, grammar, and punctuation.
    • Ability to perform administrative duties with speed and accuracy without immediate and constant supervision.
    • Experience with scheduling systems preferred. SchoolDude or MasterLibrary is a plus.
    • Ability to learn, interpret, and apply district policies and resolutions.
    • Ability to project a positive, concerned image to the public.
    • Ability to communicate effectively orally and in writing.
    • Ability to take sufficient notes at a meeting to prepare an accurate record of events.
    • Ability to maintain a good working relationship with all co-workers and the general public.
    • Ability to make independent decisions and take necessary actions.
    • Ability to maintain composure during stressful situations.
    • Ability to use diplomacy, discretion, and judgment in giving out information and referring callers.
    • Ability to follow complex instructions.
    • Ability to apply instructions and guidelines in the disposition of problems.
    • Ability to make a decision or solve a problem by using logic to identify key facts, explore alternatives, and propose quality solutions.
    • Ability to assemble, sort and/or distribute documents, supplies and/or materials/items.
    • Ability to review and/or edit documents for accuracy and completeness.
    • Ability to enter, transcribe, record, store, or maintain information in either written or electronic form.
    • Ability to deal with people in a manner which shows sensitivity, tact, and professionalism.
    • Ability to exercise independent judgment and discretion in performing tasks.
    • Ability to lift 25 lbs. if needed.
    • Must be able to maintain a positive and respectful image while interacting with both the public and district staff members.
