Job description

Plastic Surgery Arts of New Jersey and Medspa has locations in New Brunswick, NJ and Skillman, NJ and provides surgical and non-surgical services for the breast, body and face.

With over 35 years combined practice experience, the board-certified plastic surgeons of PSANJ are renowned for providing the most caring, individualized, and successful cosmetic surgery experience. They offer the finest equipment, board certified anesthesiologists, and a team of highly trained nurses and specialists.

In addition to surgery, clients can explore many other non-surgical options to improve their appearance in PSANJ’s rejuvenation studio including: CoolSculpting®, therapeutic skin care, microdermabrasion, laser, and non-surgical options like BOTOX® Cosmetic, Juvederm® and Voluma®.

Overview

Our ideal candidate is an energetic people person who provides excellent customer service, is sales-oriented and highly motivated. Excellent communication and interpersonal skills are a must in our highly collaborative, fast paced environment. This is a full-time position that will work between both PSANJ locations listed above.

As a Patient Coordinator with our group, you will be responsible for the administrative duties pertaining to all aspects of surgical scheduling including the planning, directing and coordinating of patient surgery as well as increasing qualified prospect volume, prospect to client conversion and consult to procedure conversion by providing accurate information and delivering an exceptional patient experience during every interaction.

Responsibilities

  • Respond to all patients and potential patient inquiries that come through the practice.
  • Follow up with inquiries, cancelled consultations, and those who do not schedule surgery to ensure a high conversion rate.
  • Track referrals / provide monthly reports (depending on specific practice workflow / division of duties)
  • Speak to patients prior to consultation to ensure they are a candidate for surgery & provide patient education.
  • Assist with scheduling patient appointments, in office procedures and/or treatments.
  • Present in all assigned physician's office hours.
  • Present & explain cost of surgery/treatments to patients, financing options, the surgical scheduling process from preoperative to post operative, the payment process and answer patient questions regarding same.
  • Collect surgical deposits and surgical fees in a timely manner including facility and anesthesia fees in compliance with practice standard.
  • If applicable, work with the finance department to ensure prior authorization process is completed in a timely manner.
  • Schedule/coordinate cosmetic and/or reconstructive procedures, preoperative and post operative appointments for physicians and providers.
  • Confirm all surgical procedures with facilities if/when applicable.
  • Confirm all patients have access to patient portal prior to surgery.
  • Follow up / issue reminders re start time for the following day (depending on specific practice workflow / division of duties)
  • Monitor physicians schedule frequently for any overbookings, scheduling errors, insurance issues.
  • Monitor and manage assigned physician's schedules including O.R. on call, office and vacation time.
  • Coordinate all for a covering physician when doctor is away.
  • Communicate schedule changes for all departments.
  • Work with staff to coordinate/execute events and marketing opportunities to promote practice.
  • Additional responsibilities as assigned.

Skills / Certifications / Experience / Key Attributes:

  • High school diploma or equivalent (College degree highly preferred)
  • 3 years of relevant, medical / surgical practice experience
  • 2 years of sales experience in plastic surgery or dermatology
  • Excellent organizational and time management skills
  • Strong desire to provide superior customer service.
  • Friendly and compassionate disposition with strong interpersonal, verbal and written communication skills
  • Ability to assess clients’ needs and address concerns.
  • Ability to work independently or as part of a team.
  • Detail oriented, professional attitude
  • Sense of responsibility and pride for job
  • Dedication to maintaining confidentiality of all patient records.
  • Proficiency with Microsoft Office / relevant software applications
  • Knowledge of medical office management systems and procedures (EMA / Modernizing Medicine experience a huge plus!)

Job Type: Full-time

Base compensation is commensurate with qualifications and experience but flexible for the right individual!

Must be able to legally work in the US / Sponsorship not offered.
