Patient Services Coordinator

SUMMARY:
Patient Services Coordinator (PSC) is the first and primary point of contact for patients in person and over the phone.
Our PSC performs daily administrative and general office duties including scheduling appointments, answering telephones, and maintaining records and accounts. PSC is responsible for the check-in and check-out process, including helping patients understand their bills, any lab work and overseeing a small retail environment of supplements and other medical items that support treatment protocols. Sometimes, other duties may include interfacing with insurance companies, facilitating patient tests and procedure authorization, managing medical records, maintaining inventory of supplies and general office maintenance.
SCHEDULE:
Clinic Hours: Monday – Thursday 8:00 am to 6:30 pm. Friday: 8:00 – 3:00 PM. Closed weekends.
Location:
Hours: Target of 40 hrs / week to be agreed upon with hiring manager.
RESPONSIBLITIES:
Welcomes and greets patients, assisting and directing appropriately while maintaining patient confidentiality.
Answer and screen telephone calls in a courteous manner and record messages for physicians and other personnel.
Schedule patient appointments and procedures according to established policies and procedures.
Obtain accurate information from patients, ensure all registration forms are complete and assigned to patients
Copy patient information and forward it to the requesting party after receiving appropriate consent to release medical records.
Triaging medical questions as appropriate
Recording and collecting patient charges/or balances, assisting with online and in-clinic apothecary purchases, and maintaining up-to-date records.
Fulfills organizational responsibilities as assigned, including respecting/promoting patient rights, sharing problems relating to patients and/or staff with immediate supervisor.
Identifying and developing practices to improve the patient experience across all channels
Identifying and advancing the practice’s knowledge base within a scope of interest
Maintaining safe, secure, and healthy work environment by establishing and following standards and procedures; complying with legal regulations
Creating a clean, friendly, and compassionate environment for patients
QUALIFICATIONS:
Outstanding communication skills, both verbal and written, and bedside manners.
Service orientated: capable of providing a calming, confident voice to patients and visitors with a friendly and approachable demeanor; able to resolve patient issues in a timely and appropriate manner; willingness to take ownership of patient problems and drive them to satisfactory conclusions.
Strong time management and organizational skills.
Multitasker and able to wear multiple hats.
Commensurate team player who is willing to work every day to make everyone better.
Must be self-starter and comfortable with ambiguity.
Compassionate, curious, and self-driven.
Fluency in Microsoft Word, Excel, and Outlook, EMR and medical billing a plus, but not required.
Service industry experience a plus.
PHYSICAL REQUIREMENTS:
Visual/hearing ability sufficient to comprehend written/verbal communication.
Ability to perform tasks involving physical activity which may include lifting, bending, and standing.
Ability to deal effectively with stress.
