Urban Chamber is Hiring an Administrative Assistant Near Las Vegas, NV

CORE DUTIES: 

Clerical/Administrative 

  • Answer phone calls, emails, and greet visitors 
  • Member intake, follow up and engagement 
  • Take visitors and members on Facility Tours 
  • Order office supplies, food for events, and manage inventory 
  • Prepare and send the In The Know Newsletter 
  • Manage the Online Training Calendar for the conference and training rooms 
  • Organize and schedule meetings for the President, Members, or Prospects 
  • Enter all credit card transactions from ChamberMaster software into QuickBooks 

Computer/Internet/Social Media 

  • Create events in ChamberMaster & Facebook 
  • Checking ChamberMaster for events, job postings, news releases, hot deals, member to member deals 
  • Checking ChamberMaster for submissions for the online forms, tenant maintenance request, ribbon cuttings, incubator applications 
  • Scheduling Social Media Posts 
  • Database updates from ChamberMaster to Constant Contact 
  • Creating and sending tenant and member renewal invoices (monthly) 
  • Updating website, Homepage, corporate sponsors page, Board of Directors page (weekly) 

Event Planning 

  • Event invitation calls and e-mails 
  • Solicit Speakers, secure venues, create agenda, coordinate roles i.e. pledge, announcements, acknowledgments, order awards 
  • Creating graphics for events, programs and campaigns 
  • Setting up for events 
  • Scheduling e-blasts for Chamber events in Constant Contact 
  • Ensure committees are meeting on a regular basis, check with committees for task?
