Job Description:
We are seeking a dedicated and detail-oriented Accounting / Administrative Associate to join our team and contribute to our continued success. This role will serve as a key support in managing both financial and administrative aspects of our organization. Your role is multifaceted, covering various tasks essential to accounting and administrative functions, guaranteeing smooth operations in these critical areas. If you are passionate about accounting, particularly Accounts Receivable and job costing, and are looking to grow in a dynamic and collaborative work environment, this position is for you.
Accounting (A/R) Responsibilities:
Process daily paperwork for billing.
Prepare and send invoices to clients.
Record accounts receivable transactions accurately.
Handle bank deposits and reconcile deposit slips.
Reconcile the accounts receivable ledger for accuracy.
Allocate project costs accurately using job costing principles.
Collaborate closely with project managers to ensure accurate job billing.
Generate financial statements and reports on accounts receivable status.
Administrative Responsibilities:
Provide front desk support, including greeting visitors.
Answer incoming phone calls and direct inquiries.
Sort and distribute incoming mail and manage outgoing correspondence.
Maintain a task reminder system.
Manage office supply inventory and order as needed.
Ensure the office is well-stocked and organized.
Perform filing tasks for document organization.
Assist with data entry, report preparation and other admin duties.
