Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Appointment Coordinator. As a Receptionist/Appointment Coordinator, you will be responsible for managing appointments, providing administrative support, and delivering exceptional customer service. This is a vital role in ensuring smooth operations and maintaining positive relationships with our clients.
Responsibilities:
- The ability/personality to call warm leads
- Greet and assist clients in person or over the phone with professionalism and excellent phone etiquette
- Schedule and confirm appointments using our computerized system
- Transcribe and update client information accurately
- Coordinate with executives and staff to ensure timely and efficient appointment scheduling
- Provide administrative support such as filing, data entry, and maintaining records
- Handle inquiries and resolve concerns or issues promptly and courteously
- Assist with billing processes as needed
- Collaborate with other team members to ensure a seamless client experience
Skills:
- Previous experience as a front desk receptionist or administrative position is preferred
- Strong ability to transcribe information accurately and efficiently
- Proficient in computer applications, including Outlook and other office software
- Excellent phone etiquette and communication skills
- Exceptional organizational skills with the ability to multitask effectively
- Strong attention to detail to ensure accurate record keeping
- Customer service-oriented mindset with the ability to handle difficult situations professionally
